Summary The Supervisory Medical Administration Specialist serves as the manager for the Patient Scheduling Section in the Health Administration Service. The incumbent administratively supports the mission and operations of the medical center by overseeing day-to-day operations of patient scheduling for centralized scheduling and primary care, as well as specialty clinics. They are responsible for coordinating coverage, staffing, and training, as well as implementation of new initiatives and processes. Responsibilities The Supervisory Medical Administration Specialist serves as the manager for the Patient Scheduling Section in the Health Administration Service. The incumbent administratively supports the mission and operations of the Medical Center by overseeing day-to-day operations of Specialty Clinics with an opportunity to also support Primary Care and Mental Health clinics. They are responsible for coordinating coverage, staffing, and training, as well as implementation of new initiatives and processes. Have management and oversight working with front line supervisors to assure compliance with scheduling directives and scheduling business rules and SOP's, with the ability to pivot quickly to assure the agency meets performance metrics. Performs scheduling audits and have experience with crucial conversations in the areas of performance and conduct. Duties include but are not limited to: Inspires, motivates and guides others toward goal accomplishment; coaches, mentors, and challenges subordinates; adapts leadership styles to a variety of situations; models high standards of honesty, integrity, trust, openness, and respect for the individual by applying these values to daily behaviors. Provides operational support assisting higher graded analysts in gathering and analyzing data for broader studies of organizational workforce staffing, relationships and efficiencies. Monitors and evaluates effectiveness of ongoing projects and programs, and program shortcomings and keeps the Supervisor informed of issues which may have an adverse impact on the quality of the Scheduling data. Knowledge of a wide range of qualitative and/or quantitative methods for the development and management of major administrative programs, demonstrated analytical ability, and strong written and verbal communications skills. Expert skills in analytically evaluating and forecasting scheduling issues or obstacles on a quantitative or qualitative basis as they arise. Works independently, in a self-directed manner and as a member within Health Administration Service. Develops and updates standard operating procedures for consistency. Assists in developing and rolling out training initiatives associated with patient intake and advanced clinic access and training. Evaluates organizational and staff environment stability to detect and anticipate potential vulnerability for safety as it effects staff and our customers throughout the clinic setting in the facility. Educates medical center employees and other VA personnel on the scheduling requirements. Conducts process improvement projects to identify gaps in scheduling and clinic operational processes to provide solutions; Problem solving and monitoring of all staff production trends and workload to develop and identify possible ways to improve and streamline overall work efficiency. Reviews ongoing monitors for compliance and/or action. Develops unit level monitors, audits and controls. Problem solves with employees from other departments and trouble shoots complaints via telephone, email and/or U.S. mail. Physical Requirements: The work is mostly sedentary. However there is frequent walking since most of the employees are located throughout the facilities.
