Job Description
The Client Accounts Administrator will manage the firm's top-tier billing portfolios, including handling the highest volumes and fees for institutional, high-profile clients and attorneys. This role serves as a proxy for regional supervisors as needed and is considered a subject-matter expert in billing. The Administrator will work with a team of support specialists within both Legal Support Services and Accounting teams to provide effective, streamlined billing and client account services to attorneys of the firm. Responsibilities include handling complex domestic and global billing clients, editing, proofreading, finalizing, and submitting invoices to clients on a monthly billing cycle, and researching client billing data to provide detailed analysis to attorneys and support staff.
Responsibilities
Manage complex billings in terms of volumes, global clients, and electronic billing assignments.
Perform duties to support the full billing cycle, including the review and editing of prebills, and seeking requisite approvals for deferrals, write-offs, and time transfers.
Field billing inquiries and track/resolve tickets assigned by the Accounting Service Desk daily.
Provide quality assurance in BillBlast and electronic billing vendor sites prior to client invoice finalization, and conduct root-cause analysis for electronic bill rejection and pursue resolution.
Maintain descriptions of client billing requirements, including guidelines established by the client's general counsel. Update and track changes to the requirements as necessary and provide summaries to key stakeholders.
Obtain complex monthly reporting that may require collaboration with other teams. Review data for accuracy prior to submitting.
Gather and submit accrual information based on client invoices and submit directly to the clients or provide to attorneys for transmission to the client (per policy).
Submit finalized invoices electronically based on client requirements.
Coordinate and lead global client unified billing, including management of global client account assignments and performing full-cycle billing functions.
Liaise with international team members to obtain accurate accrual and forecasting information for monthly client reporting.
Generate global client LEDES files for electronic billings based on client requirements.
Essential Skills
5 years managing high volume billing portfolios.
Expert level of knowledge and experience with direct billing or client accounts (including domestic, global, and e-Billing) for a law or professional services organization.
Experience as a team lead preferred.
Strong computer skills including advanced proficiency in Excel and accounting systems.
Proficiency in e-billing applications such as BillBlast or e-Billing Hub.
Additional Skills & Qualifications
Must be an accurate proofreader with strong attention to detail.
Ability to troubleshoot and resolve complex billing issues.
Experience with Power BI.
Work Environment
This position is remote, preferably within an area of local offices. The hours are Monday-Friday, 9:00 AM to 5:30 PM, with a standard work week of 37.5 hours.
Pay and Benefits
The pay range for this position is $37.50 - $60.00
