Regular business hours are 8:00 am - 5:00 pm EST, Monday to Friday.

What you will do:

This is work providing highly responsible administrative work for the Director of Adult Protective Services. The incumbent in this position may have direct access to agency managerial employees and information of a confidential nature which has been determined to relate to either employer/employee relations, collective bargaining and/or other personnel issues or budget development, preparation or impact as defined in Section 447.203(4) & (5), F.S. Duties include but are not limited to: conducting research, preparing reports, handling information requests, assisting with program management, assisting constituents, and performing administrative and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Incumbents may also train and supervise lower-level clerical staff.

Responsible for attending all Human Resource meetings keeping abreast of all changes in procedures and making staff aware of any changes that may occur. Responsible for coordination and production of all personnel actions for the program; such as paperwork to hire new employees, separation of employees, maintaining a list of performance evaluations, maintaining tables of organization, maintains employee files with up to date changes and all necessary documents for personnel changes and actions.

Process a variety of correspondence, investigates subject matter and prepares replies. Assists with preparation of reports, publications and other materials.

Reviews, assigns, prepare and tracks correspondence assignments.

Reviews and distributes incoming correspondence. Maintains control records of incoming correspondence and documents. Provides guidance and assistance to staff in the completion of administrative assignments and establishes due dates to ensure office deadlines are met.

Makes travel arrangements for the office staff when requested. Tracks information about travel arrangements and provides information to staff. Completes travel reimbursement paperwork in a manner consistent with Department rules and procedures.

Assists with purchasing and/or leasing materials, supplies, and equipment. Tracks invoices and completes payment processing in a timely manner, to ensure that providers are paid timely. Keep supplies organized and neat. Acts as approver/reconciler for Pcard charges and provides the appropriate paperwork for payments, on time and in a manner consistent with Department rules, policies and procedures.

Knowledge, skills and abilities, including utilization of equipment, required for the position: Reporting Skills, Administrative Writing Skills, Microsoft Office Skills, Managing Processes, Organization, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication, Knowledge of administrative principles and practices; office procedures and practices; the methods of data collection; the principles and techniques of effective communication. Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing, or report writing, prepare correspondence and administrative reports; understand and apply applicable rules, regulations, policies and procedures; utilize problem-solving techniques; work independently; plan, organize and coordinate work assignments; communicate effectively; establish and maintain effective working relationships with others.
