SUNY Upstate Medical University Administrative Manager in Syracuse, New York

Job Summary:

Supervises divisional assistants within the department to ensure consistency in processes and procedures throughout the Department of Medicine.

Supervises and oversees administrative operations of Chair’s office. Coordinate the work of the Chair’s office personnel as related to Upstate Medical University Department of Medicine policy and faculty concerns.

Coordinates with all divisions of the Department to make certain needed information or duties are carried out in a timely manner. Follow up to ensure instructions are adhered to and deadlines are met.

Composes letters and drafts communications for the Chair.

Develops and manages ongoing communications with division leaders, faculty, and administrators.

Works with Data Analyst and provides insights on managerial activities: Data analysis on past years divisional academic productivity (papers published, lectures given, students going through the programs), tally up outreach events sponsored and expenses, academic conference impact (number of attendees, social media presence, etc.), providing longitudinal comparison.

Assists in developing and improving department policies, procedures, rules and regulations, and act as administrative coordinator for same with Vice-Chairs.

Develops and maintains positive relationships with individuals and groups at all levels of the organization.

Prepares or assists in the preparation of written documents such as reviews, reports, curriculum, course proposals, catalogs, and bulletins.

Acts as resource person for faculty and staff within the department and provide counsel in problem areas.

Conducts special studies and is responsible for special programs or projects as assigned.

Assists in all matters concerning the professional development of faculty and/or their recruitment and evaluation.

Assists the Chair in liaison with department Vice-Chairs and Chiefs, and schedule/coordinate meetings with them as well as faculty in general.

Minimum Qualifications:

Bachelor's Degree in an appropriate field and 4 years related experience, including 2 years supervisory experience. Must be able to organize and assess administrative processes, have excellent communication skills and be able to effectively and efficiently direct staff resources.

Preferred Qualifications:

Master's Degree in an appropriate field.

Salaries are based upon candidate skills, experience, and qualifications, as well as internal equity, market and business considerations. The salary range depicted is based on full time, 1.0 FTE and would be prorated accordingly for less than 1.0 FTE.
