How will you make an impact in this role?
The role of the I-9 Compliance Specialist is an exciting opportunity for a motivated individual who is compliance driven and who enjoys being part of a regional team, managing stakeholder’s expectations and building relationships to ensure the I-9 process is compliant.
This position will report to the I-9 Team Leader, Recruitment Operations Servicing. This role is part of a dedicated I-9 team that handles all aspects of the I-9 lifecycle from new hire, rehire, reverifications and data retention. The individual will work with local market teams to ensure the employment work authorization process is compliant with standards established by American Express and local authorities. This role will partner with Internal and External stakeholders, including but not limited to Colleague Experience Group, Global Talent Acquisition, Internal/External Counsel, Business Leads, and a third-party vendor to ensure the employment work authorization process is followed accurately and efficiently for all candidates and current employees. This role will also support initiatives to improve the overall I-9 process and take on additional related activities as needed.
Key Responsibilities include:
Responsible for the end-to-end I-9 process and ensure new hires, rehires, transfers and existing employees are authorized to work in the United States
Monitor I-9 forms and supporting documentation via a third-party system for completeness and accuracy following federal requirements and guidelines
Monitor E-Verify process on new-hires, rehires and existing employees to ensure employment eligibility via the Department of Homeland Security/Social Security Administration.
Work onsite and virtually with individuals to ensure I-9 is complete and compliant in a timely manner
Serves as point of contact for internal and external stakeholders via Email, Phone, WebEx, and other modes of communications
Develop and maintain ongoing partnership with Internal/External Counsel to ensure team is aligned with USCIS and Federal requirements
Identify trends, escalations and issues and raise them to management
Maintain data integrity by actively managing and updating the Vendor’s Administration system in real-time
Assist in compiling reports and analytics
Serve as an extension to the subject matter expert among the business, markets, and recruitment teams to ensure seamless integration and alignment of the I-9 process
Partner with local market recruitment teams to ensure I-9 form compliance, efficient operations and supporting administration/compliance trackers are accurately maintained
Document and update key process documents and candidate/colleague facing communications
Assist with other members of the organization on strategic and ad hoc projects; Self-starter willing to work independently
Minimum Qualifications
2 years working in Colleague Experience Group/Recruitment or related Human Resources field
Ability to work onsite minimum 3 days per week (Hybrid position)
Knowledge of Form I-9 and E-Verify procedures and regulations, to include compliance/audit responsibilities (remote processing preferred)
Ability to work in a fast-paced federally mandated environment
Experience with Microsoft Office Suite Applications and Outlook
Ability to multi-task within several different applications as well as performing multiple tasks simultaneously
Ability to work within a continually evolving landscape
Strong interpersonal skills at all levels including management
Excellent written, verbal, and phone communications skills
Experience working in diverse teams
Experience in working within tight deadlines; same day resolution
Ability to work effectively, independently, and collaborate with colleagues to complete assignments within a designated time-frame
Ability to maintain confidentiality
Ability to maintain high morale, motivation and collaboration
Flexibility and willingness to cross-train and support supplementary business units to accommodate the needs of the business. This will be included but not limited to providing back-up support to the Background Verification team as needed
Demonstrated ability to handle multiple assignments with effective resolution of conflicting priorities in a timely manner
Proven analytical, evaluative, and problem-solving abilities are required with extensive experience working in a team-oriented, collaborative environment
Preferred Qualifications
Preferred knowledge of different Visa types
Preferred experience in pre-employment background verification processes

Salary Range: $24.05 to $48.10 hourly bonus benefits
