The Department of Health in Pinellas has an Administrative Secretary position open in the Medical Services program based out of the St. Petersburg Center. The successful incumbent will work at the Information Desk at the busy St. Pete Health Department. This position involves regular contact with a diverse population both in person and over the phone and will require working with sensitive and confidential information.

Your Specific Responsibilities:

  • Provides information, resources, directions and various other information to clients and visitors of the Health Department in person and via the phone.

  • Uses databases to input data as required. Scans and imports medical records.

  • Registers and schedules client appointments using the EHR

  • Uses various office equipment including telephones, fax and copy machines. Keeps current regarding services provided by the Health Department, programs and locations; Maintains confidentiality of client information; Reads and responds to email daily; Reviews and maintains intra-agency and inter-agency telephone lists and extensions.

  • Ability to prioritize responsibilities

  • Ability to use office equipment including copy and fax machines

  • Ability to establish and maintain effective working relationships

  • Skill in use of a personal computer

  • Ability to communicate effectively; verbally and in writing

  • Knowledge of patient confidentiality laws

  • Ability to operate a multiline telephone system

  • Use multiple computer programs and software such as Microsoft office to retrieve and/or input data.

  • Strong internal and external customer services skills

  • Independent problem-solving skills

  • Strong verbal communication and listening skills

  • Ability to work effectively and cooperatively with others

  • Ability to manage diverse situations

    Qualifications

    Minimum

  • At least 1 year experience working in a medical office setting

  • At least 1 years’ experience working in a fast-paced customer service position

    Preferred

  • Bilingual in English and Spanish

  • Experience working in a call center
