This position will provide a wide range of administrative support to the Small Business and Innovation Office. The position plays a crucial role in maintaining office efficiency. This position will interact with internal and external partners. The position is responsible for various tasks that are performed on behalf of the Office of Small Business and Innovation which include fiscal responsibilities, office support, communication, administrative procedures, and planning. The position will need to demonstrate technical proficiency to effectively meet the current and future needs of the office.
This position is telework (https://mn.gov/mmb-stat/policies/1422-telework.pdf) eligible and is required to be on-site at the office in St. Paul at least once per week. Staff are provided with the tools and equipment to be successful in a virtual work environment and may telework from anywhere in Minnesota or a neighboring state. Please note, the telework policy could change with notice based on business needs.

Minimum Qualifications

Skill in customer service sufficient to:
Effectively communicate, listen to, and elicit information with tact and diplomacy
Interpret and explain program information to customers, clients, and coworkers, such as policy, procedures, eligibility requirements, application details, and payment methods
Respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes
Skill in:
Word processing sufficient to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors
Database management sufficient to develop and maintain databases and calendars for staff
Developing and implementing administrative and program policies, procedures, and service standards in cooperation with management
Ability to:
- Perform administrative support work for a work unit’s expense and budget administration
Preferred Qualifications
One (1) year of office administrative support experience working as an administrative assistant or completing administrative support work
Knowledge of:
Customer service practices and principles sufficient to identify each customer’s needs, meet quality standards for services, that result in customer satisfaction
Basic accounting procedures sufficient to prepare itemized statements, bills or invoices, and record amounts due for items purchased or services rendered
Ability to:
Organize, prioritize work, and be self-directed in a fast-paced working environment
Make photocopies of advances correspondence, reports, spreadsheets, and miscellaneous documents
