This position provides program management and administration of the agency's employee metro pass, parking programs, the agency Gift Acceptance Program, and various other reimbursement programs as directed by the Office of Fiscal and Administrative Services (FAS) leadership.
At the direction of the Procurement Director, responsible for back up procurement responsibilities such as contracting, purchasing, providing purchasing assistance and guidance to agency purchasers and purchasing approvals to ensure purchasing is in accordance to applicable policies and procedures. In addition, is assigned timekeeper duties for the division level payroll.
This position is the lead worker for the FAS Office Administrative Services Intermediate and provides back up to the main reception desk when needed. Provides administration oversite over agency wide administrative processes such as the executed Travel and Special Expense Authorizations from the Commissioner's office and agency wide MNIT invoicing. Position is also the content administrator for the division's internal and public facing websites.
Minimum Qualifications
Knowledge of how to respond effectively to clients, coworkers, and customers who have questions about agency operations and procedures (in person, in writing, on the phone, and through presentations and other electronic correspondence.
Skill in database management sufficient to set up and run basic queries, review and analyze data, and identify program areas in areas which may include data, formulas or security.
Ability to review, edit and proofread content which may include texts and graphics for final desktop and website publishing.
Ability to oversee, lead, train and evaluate the work activities of employees in their work area.
Skill in using spreadsheet applications, such as Microsoft Excel or Google Sheets to enter, compile, store, and retrieve data. Using advanced spreadsheets features such as formula creation to manipulate and sort data.
Skills in word processing sufficient to prepare, edit and finalize emails, memos, reports and/or other documents and types of written communication that are grammatically correct, in proper format and free of spelling errors.
Skill in customer service sufficient to respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.
Preferred Qualifications
Experience leading the work of others
Experience in State payroll processing and/or SEMA4.
Physical Requirements
Light: Requires occasionally moving and transporting such articles as file boxes and heavy hand tools or heavier materials with help from others and moving and transporting light objects frequently. Even through the weights being moved and transported may be a negligible amount, a job in this may require positioning self to move to a significant degree or may involve maintaining a stationary position for extended periods.
