Executive Administrative Assistant (onsite/hybrid) Position Overview As a key member of the Finance team, you will be part of AgriBank's mission to support the people who feed the world. The Executive Administrative Assistant provides executive administrative support to the Chief Financial Officer (CFO) and general administrative support to the Finance department (Treasury, Controller, and Finance Operations teams). Duties include: Executive Administrative Support Oversees and manages the CFO's calendar, travel arrangements, and preparation of expense reports Manages and prioritizes complex calendar for the Finance department, ensuring efficient time management by coordinating internal and external calendar events, including providing timely reminders and documentation in advance of scheduled events Provides meeting support Maintains electronic filing systems, ensuring accessibility and confidentiality of AgriBank's corporate documents and records Manages incoming and outgoing correspondence and communications to ensures appropriate follow-up Maintains and Coordinates Key Finance Processes Standardizes and maintains in coordination with Finance managers certain departmental level inventories (e.g. contact info, vendor management lists, project information and other inventories as appropriate) Plans and organizes Finance conferences and meetings, including any or all of the following: Coordinating catering, audio-visual, ground transportation, hotel room accommodations and hotel concessions Supports certain departmental processes Prepares Communication, Presentations and Assembles Reports Drafts and edits letters, memos, emails and other communications for the Finance department Coordinates Finance presentations (board, rating agencies, training, bank meetings) Prepares presentations, communications and reports as needed Generates and distributes surveys; compiles results Other Provides support to bank-wide or departmental initiatives as needed Other duties as assigned to meet the needs of the CFO and Finance department * This position description is subject to change without notice. Minimum Qualifications High school diploma 4 to 6 years of related experience Or an equivalent combination of education and experience sufficient to perform the essential functions of the job Knowledge Expert knowledge of administrative support techniques and practices Expert knowledge of office administration processes and procedures Expert knowledge of Microsoft Outlook, Word, Excel, and PowerPoint Familiarity with finance terminology preferred Working knowledge of the Farm Credit System structure and environment preferred Responsible to appropriately protect the confidentiality, security, and integrity of the Bank's systems and data Skills Expert customer service skills, including the ability to communicate complicated information, deliver bad news effectively, and exceed customer expectations Skill in recognizing and maintaining confidential information Skill in organizing and coordinating schedules to ensure efficient and effective use of time Skill in scheduling and arranging accommodations for meetings and travel Skill in performing a variety of duties under the stress of frequent interruptions or distractions Skill in prioritizing assignments to complete work in a timely manner Skill in filing, organizing and updating records Skill in verbal and written communications, sufficient to exchange information effectively with peers, supervisors and board members Skill in utilizing time in an efficient and effective manner Skill in gathering, compiling and organizing information with a high degree of accuracy Skill in establishing and maintaining cooperative working relationships with senior leaders and Board members Skill in applying processes and procedures to factual data to come to make a logical decision Physical Requirements Prolonged periods sitting at a desk and working on a computer Must be able to lift up to 15 pounds at a time AgriBank will not sponsor a work visa (e.g., H1B, etc.) to fill this position.
