As a receptionist, your role will be to assist, welcome, inform, and provide documents to all visitors or callers inquiring about the agency. The ideal candidate for this position is outgoing, thrives in a fast-paced environment, is detail-oriented, reliable, and possesses strong problem-solving skills. The primary objective of this role is to offer basic information to callers and assist with simple projects or office tasks. Principle Job Responsibilities: Welcome and assist all visitors upon their arrival at the office. Guide visitors around the office and/or webpage Translate for our persons served, employees, and or office staff Handle, screen, and route phone calls to the correct office staff. Take and relay messages accordingly Prepare letters, memos, and documents for mailing. Sort incoming mail and deliveries. Hand out checks or timesheets to external staff. Support departments with calls and communicating basic messages / information File person served and employee records, timesheets, and paperwork Make copies for employees, applicants, and/or persons served Fax forms to organizations as needed/requested by office staff Process and send out monthly reassessment requests. Manage WIX chat to address inquiries from the website. Document caller concerns and compliments for office records and training purposes Receive and organize PCA/DSPs timesheets and inform employees to correct any errors Gather and file mileage, reimbursement, and program documentation. Scan and send timesheets to billing department Assist Management department, as needed Other: Attend office meetings every 2 weeks Complete required training for position or improvements Support with departmental projects Maintain a tidy work area Prevent and identify fraud Provide Coverage for Departments as needed Employ person-centered practices in all job responsibilities Occasionally write articles for the company newsletter Minimum Qualifications: Must pass a criminal background study Must be bilingual (Spanish & English) Excellent Communication Skills Exceptional customer service skills At least 1 year of previous experience as Receptionist or 2 years of customer service experience Desirable Qualifications: Experience using Microsoft word, Excel, and Microsoft Teams Experience in administrative related task Prior experience related to home healthcare is preferred.
