This position is located at Central Office in St. Paul and has the flexibility to work a hybrid schedule or work in the office. The incumbent will be required to make a telework arrangement with their supervisor. The incumbent may be expected to work in the office on occasion.

This position exists to provide executive administrative support to the Office of Equity & Diversity (OED) so that operations run efficiently. This position will support OED’s major programs of discrimination investigations, external employment discrimination matters, alternative dispute resolution, ADA reasonable accommodations, affirmative action, language services, training, diversity and inclusion committees/teams, Employee Resource Groups, organizational development, and diversity, equity, and inclusion initiatives. The incumbent will also manage the office’s websites, handle all aspects of virtual, hybrid, and in-person conferences, meetings, and trainings, and be responsible for all office purchases and asset management.

The incumbent in this position will provide full administrative support by performing a variety of logistical, administrative and clerical support functions so staff can more efficiently address the responsibilities of their positions. The incumbent will be responsible for data collection and analysis involve gathering, cleaning, and analyzing data to generate reports that convey key insights to stakeholders, while also ensuring data integrity and compliance with agency standards. This process includes tasks such as designing data collection methods, conducting statistical analysis, creating visualizations, and communicating findings effectively to support decision-making.

Travel: Yes, up to 10% with possible overnight stays

Minimum Qualifications

  • Ability to design, interpret, and explain administrative and program procedures.

  • Knowledge of building and uploading original content, documents, and/webpages to websites.

  • Ability to create presentations, tables, charts, and/or graphs from work processing software.

  • Skill in data entry sufficient to receive and review source documents, compare documents to database information, and edit documents.

  • Skill in document and records management sufficient to maintain electronic or paper files for efficient organization and retrieval of information.

  • Ability to communicate in a variety of formats to gather and relay information with tact and diplomacy.

  • Ability to explain standards, policies, and procedures to clients, coworkers, and customers.

Preferred Qualifications

  • Knowledge of accessibility options that meet customer’s needs – i.e., utilizing American Sign Language (ASL)/English interpreters, captioning and/or Communication Access Realtime Translation (CART).

  • Knowledge and application of Web Content Accessibility Guidelines (WCAG) 2.0.

  • Working knowledge of employment discrimination concepts.

  • Advanced knowledge and experience using Microsoft Access or Oracle databases, the Statewide Employee Management system (SEMA4), Smart Technology, Microsoft Lync, SharePoint, Dreamweaver, and/or Microsoft Visio.

  • Experience with state purchasing system.
