Summary
TheAdministrative and Marketing Support Specialistis responsible for providing Administrative and Marketing support to the Sales & Marketing team with a primary focus on website lead distribution, marketing and internal communications support, event coordination, spreadsheet analytics as well as data analytics and reporting. reporting.
Education and Experience
2- or 4-year degree in Marketing, Communications, or related field, or 2 to 4 years of related field experience.
2+ years demonstrated work experience, preferably in an internal communications and/or administrative function requiring multi-tasking, attention to detail and ability to meet deadlines.
Proficiency in Microsoft Office 365 (Word, Excel, and Outlook) –especially Excel -required.
Basic design skills preferred but not required.
Experience or exposure to website administration and workflow management preferred but not required.
Proven skills in project coordination and event planning using excel to build lists and databases.
Excellent communication skills (written, listening and verbal).
Must be highly organized, self-motivated, able to proactively recognize and seize opportunities to support the team and work independently.
Must be a team player, and amenable to a variety of work projects.
Must be analytical with the ability to work with data with a high degree of accuracy and efficiency.
Must be able to maintain confidentiality.
Must be committed to providing excellent service to internal ‘customers’ and fellow team members, proficient in responding to internal and external customer situations, and efficiently responding to customer needs as required.
Must be able to think creatively and provide creative contributions to projects.
Basic design skills preferred but not required.
Basic Proficiency in Adobe Suite.
Must be able to demonstrate a proactive commitment to ATS corporate values and the success of all staff.
Willing and able to travel infrequently, including overnight travel.
Essential Duties and Responsibilities
Serves as primary resource of receiving, screening, and disseminating website and email leads promptly.
Serves as an analyst building and working with operational reporting, marketing automation, workflows, datamining, metrics, and entry using HubSpot, Excel and other digital tools.
Builds and scrubs lists for prospecting for sales team members, email, and other external campaigns.
Prepare reports based on feedback on sales leads that have been provided.
Coordinates timely review and assignment of incoming projects requests as well as communication of timelines and details with requestors.
Performs administrative record-keeping and reporting duties, maintaining data integrity working with internal operating systems and relevant data.
Provides support to sales teams in developing custom marketing materials from pre-developed templates.
Procures and manages inventory of promotional items for sales and internal purposes.
Supports the marketing and communications function as a content writer for internal communications, including drafting, procuring approvals, and sending internal communications via various media.
Serves as point person and coordinator of company events (i.e., Driver Appreciation, Holiday Party, etc.) and participates in planning committees.
Supports ATS trade shows by completing paperwork, preparing booths and materials for shipment, and arranging show inbound and outbound shipments.
Assists other team resources in procuring and managing content on social media platforms and on the company’s internal & external websites and apps.
Assists the website administrator for the HubSpot platform.
Works with designers and content specialists to support sales and marketing projects.
Provides general administrative support for the Marketing Director and other team members as needed. Serves as backup support for EVP/CAO as needed as well.
Meeting & meal planning as needed.
Work with vendors and advertising outlets on invoicing, POs, and processing accounts payable.
Understands and consistently performs in accordance with ATS Mission, Vision, and Values.

Completes work responsibilities outside of normal business hours as needed and infrequent travel may be required.

Compensation & Benefits:
The anticipated hourly pay range for this position is between $22.50 - $27.50. Hourly pay rate offered is determined by relevant experience, education, certifications, and geographic location as compared to others doing substantially similar work . In addition to the hourly rate of pay, employees may be eligible for performance-based incentives, which can vary depending on individual and/or company performance.
