Summary:
The Real Estate Service Coordinator is responsible for coordinating input, updating and maintaining of a complex corporate real estate databases used for Lease Payments, Rental Income, Critical Dates, Lease Terms, Lease Abstract with a timely and accurate consistency. The coordinator creates regular and on-demand reports from the database. Also, coordinates the payment of occupancy expenses. Provides administrative support and some secretarial support. Represents the department in resolving problems and exchange of information and interpretation of departmental policy and procedures. Prepare Lease reconciliations and review reconciliations provided by third-party Landlords on a timely and accurate basis.
Perform a wide variety of project coordination and office support to the operations and strategic work of the Department of Real Estate Services. This position requires strong organizational skills, project management, interpersonal and computer/data management skills, as well as independent judgment to anticipate and solve problems to maintain smooth and professional operations. This position interacts with a diverse group of critical stakeholders including senior management, administrative leadership from all Hospital entities, executive assistants, physicians and staff. The duties of this position will expose the incumbent to a high level of confidential information that must be handled with discretion and professional sensitivity.
Job Requirements:
1) On occasion, we may receive calls from tenants and occupiers regarding occupancy issues, both urgent and non-urgent.
2) Interacts with a wide variety of hospital executives, medical staff, employees, and/or external vendors and customers in a professional and efficient manner, obtains or relays information, arranges meetings, gathers data, etc.
3) Manages books and records relating to the BHS leases with outside landlords. Manages books and records relating to the management and operation of all third-party leases and sub-leases, including all accounting, financial records, and calculation of annual tenant reconciliations
4) Receives and screens visitors and telephone calls for the department and responds to general inquiries or routes to appropriate personnel.
5) Schedules meetings, conferences, interviews, and appointments. Completes travel arrangements and maintains the Director and Manager's business calendars.
6) Performs difficult data and/or information gathering, computes complex calculations and spreadsheets, drafts, and prepares special reports analyses for review by the Director.
7) Answers inquiries concerning activities and operations of the department.
8) Develops, maintains, and revises record-keeping and filing systems (electronic and paper) and sorts and files correspondence, articles, records, and other documents
9) Monitor department budgets and accounts for assigned cost centers. Initiates and prepares expenditures for office supplies, standard department inventory, travel, etc., and accepts receipts and invoices for non-routine expenditures
10) Tracks all occupancy expenses using database input and record keeping, including CAM, Property Taxes, Reconciliation, and Additional Rent Charges.
11) Upload and ensure the accuracy of property data: leases, Notices, Amendments, Extensions, Photos, Data, Rent, Contacts, Options, Critical Dates, Critical Clauses, and Notes.
12) Exercise independent judgment, proactive, critical thinker whose skills contribute to efficient, systematic, and successful operations in compliance with Baystate Health procedural and operational standards. Proven self-starter with a strong ability to problem-solve and to think and work with complete autonomy, with minimal direct supervision. Must possess strong Service Excellence Standards.
13) Track payments for all BHS and Tenant monthly rent obligations. Review, confirm accuracy, and process invoices to proper accounts.
14) Track books and records relating to the BHS leases with outside landlords. Track books and records relating to the management and operation of all third-party leases and sub-leases, including all accounting, financial records, and calculation of annual tenant reconciliations.
15) Demonstrated ability to be self-motivated and self-directed, manage multiple tasks/priorities, and meet deadlines amongst internal and external customers. Excellent customer service skills. Proven ability to work as part of a team
Minimally Required Experience:
Must have prior bookkeeping experience, preferably with real estate accounts. Must be familiar with Real Estate and Lease terminology.
Skills/Competencies:
Requires advanced use of a personal computer with proficiency in Excel, Word, PowerPoint, and Outlook. Ability to manage multiple critical items and prioritize accordingly. Able to become familiar with multiple business lines and property types: hospital, urgent care, medical offices, specialty care, specialty service, and administrative. Ability to remember locations and addresses in the greater Springfield area. Ability to work through complex rent, utility, common area, and real estate reconciliations and discuss clearly, effectively, and accurately to resolve discrepancies and disputes.

The base pay range shown above considers the wide range of factors that are considered in making compensation decisions including knowledge/skills; relevant experience and training; education/certifications/licensure; and other business and organizational factors. This base pay range does not include our comprehensive benefits package and any incentive payments that may be applicable to this role.
