David Evans and Associates Project Coordinator in Spokane, Washington

DEA is currently recruiting for a Project Coordinator to support our Inland Northwest Surveying and Geomatics Group. The Administrative Assistant will be located in our Spokane, WA office. This position is responsible for a variety of administrative and project support duties including general office tasks in a fast-paced professional engineering firm. Main duties generally include 1) general administration support (scheduling meetings, project set-ups and filing, expense reports, scanning documents, taking meeting notes, making travel arrangements, designing and maintain staffing schedules, etc.), 2) project administration and controls (contract coordination, subconsultant agreements, project invoicing, project financial reports, quality control audits, monthly progress reports, etc.), and 3) assisting in project deliverables (formatting and consolidating technical reports and spreadsheets, etc.). These, and other anticipated duties, are outlined below: Provide administrative support for Survey and Geomatics Staff and Project Managers; Prepare and review project invoices and prepare progress reports; Review project subconsultant invoices; Set up new project folders and oversee the maintenance of project files; Provide Quality Management support for project deliverables; Coordinate the production and distribution of deliverables to the client (including large, technical reports); Coordinate and schedule project and internal staff meetings; Prepare meeting agendas and minutes and capture meeting notes; Manage/maintain group staffing schedules; Assist in internal Client Experience Survey outreach and spreadsheet tracking; Coordinate group events and conferences across the region; Assist in project contract coordination, setup and closeout Basic Qualifications: Two years experience in office administrative and project related duties. Proficiency in Outlook, Word, Excel and Adobe. Experience coordinating and scheduling meetings for internal and external individuals. Excellent written and verbal communication skills. Experience multi-tasking and prioritizing competing requests. Customer service or quality control experience. Strong interpersonal skills. Preferred Qualifications: Advanced skills in Outlook, Word, Excel and Adobe. Additional software skills in Access, PowerPoint, MS Project, Windows Explorer, or similar programs.
