We are looking for an Executive Assistant to provide administrative support to the President, COO, and EVP of Strategy & Business Development. OVERVIEW The Executive Assistant provides support to the President, Chief Operating Officer (COO), and the EVP, Corporate Strategy & Business Development by performing advanced, diversified, and confidential administrative duties, both of a personal and business nature. This individual serves as the primary point of contact for internal and external stakeholders on matters pertaining to the Executives and oversees special projects. JOB DUTIES * Manage the calendars of the President, COO, and EVP, Corporate Strategy & Business Development by scheduling appointments, meetings, and conference calls with both internal and external parties as directed or independently; prepare meeting agendas, meeting notes, and reports as needed. * Screen incoming calls and written correspondence; research, resolve, and follow up on issues and concerns in an appropriate and confidential manner. * Compose and prepare a wide range of general, confidential, and complex correspondence; ensure proper sentence structure and grammar. * Prioritize inquiries and requests to ensure smooth day-to-day operations. * Anticipate needs and expectations; initiate follow-up on pending matters proactively. * Facilitate communication within the organization, acting as a liaison between various teams and team members. * Organize and execute special projects; ensure stakeholders are delivering on contributions. * Conduct research and compile information to support various projects and initiatives. * Participate in meeting and event planning. * Arrange complex, detailed travel plans and itineraries with minimal direction. * Communicate directly and on behalf of the Executives with board members, investors, and others on matters related to their position. * Build relationships throughout the company and with external partners as needed for efficient and effective work. * Compile expense reports for approval. * Review, code, and submit invoices for approval and payment. Track spending for various teams against approved budgets. * Uphold the highest level of professionalism and discretion when handling highly confidential information. * Maintain the property organizational chart, applying and dispersing updates as needed. * Review received legal correspondence from Sun's registered agent and distribute appropriately. * Prepare quarterly certification forms. * Notarize documents as needed. * Ensure adequate levels of office supplies for the department. * Other duties and special projects as assigned. REQUIREMENTS * High School Diploma or GED; Bachelor's degree in Business or related field, preferred * Minimum of 7 years' administrative, or relevant corporate experience * Strong attention to detail, organizational and multitasking skills * Ability to interpret and effectively manage a large and complex workload with competing priorities * Excellent communication and interpersonal skills * Ability to work independently as well as a team in a fast-paced multi-tasked environment * Ability to maintain strict levels of confidentiality * Advanced computer proficiency with the Microsoft Office suite * Ability to provide data entry and analysis in a timely and efficient manner * Ability to work extended hours * Ability to respond to business needs after normal business hours * Ability to perform in-person work on a consistent basis * Abi
