Job Title: Scheduler – Fleet Services
Job Summary
We are seeking a detail-oriented and organized Scheduler to join our Fleet Services team at a premier interior design and staging company. The Scheduler will be responsible for coordinating fleet operations, ensuring timely delivery and pick-up of furniture and staging materials, and maintaining efficient workflows for our fleet team. This role requires excellent time-management skills, strong communication abilities, and the ability to thrive in a fast-paced, detail-driven environment.
Key Responsibilities
Scheduling & Dispatch:
Develop and maintain daily schedules for fleet drivers and staging crews to ensure timely deliveries, pickups, and installations.
Assign and dispatch vehicles and drivers based on job priorities, delivery timelines, and route optimization.
Communication:
Serve as the primary point of contact between fleet drivers, warehouse staff, and design teams to coordinate logistics.
Communicate updates and resolve scheduling conflicts promptly, ensuring all parties are informed of changes or delays.
Logistics Coordination:
Optimize routes and delivery schedules to maximize fleet efficiency and minimize delays.
Monitor fleet movements and provide support to ensure schedules are adhered to.
Documentation & Reporting:
Maintain accurate records of fleet schedules, job assignments, and delivery logs.
Track vehicle usage, mileage, and maintenance schedules to ensure compliance with company policies.
Problem-Solving:
Anticipate and address logistical challenges, such as last-minute schedule changes, vehicle breakdowns, or unforeseen delays.
Collaborate with internal teams to troubleshoot and implement solutions in real-time.
Fleet Support:
Assist in coordinating routine maintenance and inspections for fleet vehicles to minimize downtime.
Ensure all vehicles are stocked with necessary tools and materials for staging jobs.
Requirements
Qualifications
Proven experience in scheduling, dispatching, or logistics coordination, preferably in a design, staging, or related industry.
Excellent organizational and multitasking skills, with a keen eye for detail.
Strong verbal and written communication skills.
Proficiency in scheduling software and tools, such as Google Workspace, Microsoft Office, or logistics platforms.
Ability to adapt quickly to changing priorities and thrive in a fast-paced environment.
Familiarity with fleet management and route optimization is a plus.
