Trane Technologies Bid Coordinator in Sofia, Bulgaria

Job Summary : The Bid Coordinator will be responsible for managing and coordinating the end-to-end process of preparing responses to bids for Nuvolo’s Connected Workplace Solution. This will include responses to EOIs, SQs, RFIs, RFPs, ITTs and other associated bid documents. The Bid Coordinator will work closely with the Sales Leader, Account Executive and Solution Consulting Team who are leading the customer engagement to understand the Bid Strategy and ensure the agreed value proposition and customer stories are incorporated into the response. The Bid Coordinator will work closely with the Bid Writers and Digital Bid Resources within the bid team to ensure that all submissions are completed on time, in line with customer requirements, and are aligned with company standards. During the bid process the Bid Coordinator will also work with cross-functional teams, including product development, services, legal and solution consulting, to gather necessary information and create compelling responses that highlight the company's capabilities and strengths.

Responsibilities :

  • Bid Planning: Developing and implementing a response plan for each bid, including timelines and resource allocation.

  • Bid Strategy : Collate key win themes, key user stories and the Inspirational message to be delivered from the Account Executive and Solution Consulting Teams to ensure this is consistent within the bid response and tailored to each customer.

  • RFP/RFI Analysis : Reviewing bid documents to identify and understand response requirements, response structure, objectives, and evaluation criteria to ensure a compliant and competitive response is submitted.

  • Team Coordination : Allocate the tasks needed to complete the response to appropriate team members and other supporting teams in a timely and accurate manor. Organizing and lead bid meetings with cross-functional teams. Ensuring that all contributors understand their roles and deadlines.

  • Content Developmen t: Overseeing the creation and assembly of proposal content, ensuring clarity, consistency, and alignment with company branding and client requirements.

  • Compliance Check : Verifying that all bid components meet Nuvolo’s high standards while complying with customer submission requirements. This includes review and signoff of responses.

  • Editing and Proofreading : Reviewing all proposal documents for quality, accuracy, and completeness. Editing for cohesiveness and clarity.

  • Continuous Improvement : Analyzing submission feedback to refine and improve the bid process, practices, and templates for future opportunities.

Qualifications:

  • Bachelor’s or Master’s Degree in a relevant field such as Business Administration, International Trade, Marketing & Communications, Economics & Finance or related; educational background in Engineering / a Technical Degree would be considered a strong advantage.

  • 2+ years of experience in software sales support, proposal coordination, bid coordination or tender management in an international environment, preferably in IT and software industry

  • Strong understanding of RFPs, RFQs, ITTs processes in IT, preferably in a software industry

  • Experience with project coordination: ability to manage multiple bids simultaneously while meeting strict deadlines

  • Proficiency with MS Office Suite, CRM systems (such as SalesForce, HubSpot etc.), document management tools (such as SharePoint, Google Drive)

  • Fluency in English (C2 / C1 level or equivalent), verbal and written
