Job Title: Office Assistant

Job Type:Part-Time

Hours:15-20 Hours Weekly, Monday through Friday

Job Summary:

We are seeking a highly organized and motivated Office Assistant to join our team. This full-time position plays a crucial role in ensuring the smooth operation of our office. The ideal candidate will be experienced in using QuickBooks, managing payroll, generating reports, and handling phone communications. Key Responsibilities:

  • QuickBooks Management: Efficiently handle day-to-day bookkeeping tasks using QuickBooks, including processing invoices, tracking expenses, and reconciling accounts.

  • Payroll Administration: Manage the payroll process, ensuring accurate and timely payment to employees. Handle payroll-related inquiries and resolve any discrepancies.

  • Report Generation: Prepare and generate various reports as required by management, including financial summaries, expense reports, and other relevant documents.

  • Phone and Email Communication: Answer incoming phone calls and emails in a professional manner. Direct inquiries to appropriate personnel and provide information as needed.

  • Administrative Support: Perform general administrative duties such as filing, organizing documents, and managing office supplies. Assist with scheduling meetings and appointments as needed.

  • Customer Service: Provide excellent customer service to clients and vendors, addressing their needs and resolving issues in a timely manner.

Qualifications:

  • Experience: Minimum of 1 year of experience in an office assistant or similar role, with proven expertise in QuickBooks, payroll processing, and report generation.

  • Skills: Strong proficiency in QuickBooks, with the ability to efficiently manage payroll and financial reports. Excellent communication skills, both verbal and written. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Attention to Detail: High level of accuracy and attention to detail in all tasks and responsibilities.

  • Organizational Abilities: Ability to handle multiple tasks simultaneously and prioritize effectively in a fast-paced environment.

  • Professionalism: Demonstrated professionalism and ability to maintain confidentiality in handling sensitive information.

Education:

  • High school diploma or equivalent required. Associate's degree in Accounting, Business Administration, or related field preferred but not required.
