The Legal Support Specialist 3 is a developing professional role. Deals with most problems independently and has some latitude to solve complex problems. Integrates in-depth specialty area knowledge with a solid understanding of industry standards and practices. Good understanding of how the team and area integrate with others in accomplishing the objectives of the subfunction/ job family. Applies analytical thinking and knowledge of data analysis tools and methodologies. Requires attention to detail when making judgments and recommendations based on the analysis of factual information. Typically deals with variable issues with potentially broader business impact. Applies professional judgment when interpreting data and results. Breaks down information in a systematic and communicable manner. Developed communication and diplomacy skills are required in order to exchange potentially complex/sensitive information. Moderate but direct impact through close contact with the businesses' core activities.
Quality and timeliness of service provided will affect the effectiveness of own team and other closely related teams.
The successful incumbent will be working closely with the Company Secretary and expected to handle the following key responsibilities to provide high quality, professional company secretarial support for all the Singapore entities as well as supporting the Asia South Corporate Governance outsourcing related function.
In this role, you’re expected to:
Provide comprehensive corporate secretarial support to a number of boards and board committees, including liaison with various stakeholders, preparation of agendas, creation and collation of board packs, taking minutes following up on action points and providing governance advice.
Scheduling the board and board committee calendars, seeking and monitoring director availability for additional meetings as and when necessary.
Maintain proper documentation of corporate governance activities and processes, including updating and maintaining the statutory registers and databases for all the Singapore legal entities.
Ensuring compliance with relevant statutory and regulatory requirements including necessary filings with the regulators.
Monitoring the effectiveness and appropriateness of the corporate governance framework of each legal entity.
Provide administrative support to the board of directors and company secretary.
Undertaking ad hoc projects as and when assigned.
As a successful candidate, you’d ideally have the following skills and exposure:
A recognized tertiary education or an Associate member of the Institute of Chartered Secretaries and Administrators with at least 4 years of relevant corporate secretarial experience in the banking or finance industry.
Ability to multi-task and function effectively in a dynamic environment.
Strong knowledge and understanding of the corporate secretariat work and corporate governance principle.
Strong knowledge of relevant regulations and directive of financial institutions would be an advantage.
Meticulous with good organizational and time management skills.
Proficient in Microsoft Office suite of tools.
A team worker with ability to work independently.
Excellent written and spoken communication skills.
Good rapport building skills, accuracy, attention to details, flexibility, and the ability to prioritize work.
