General Summary

Position preforms a wide range of administrative and office support activities to facilitate the efficient operation of the department.

Essential Duties

  • Corrects and inputs data into DMLSS database.

  • Interacts with vendor and clients.

  • Confirms and updates DMLSS database accuracy by verifying area(s), identifying room numbers, location, and, square footage.

  • Performs routine administrative tasks such as typing, copying, and sorting, following established standards, formats and procedures.

  • Maintains electronic and hard copy filing system; retrieves documents from filing system.

  • Handles requests for information and data.

  • Resolves administrative problems and inquiries.

  • Prepares written responses to routine inquiries.

  • Prepares and modifies documents including correspondence, reports, drafts, memos and emails.

  • Schedules and coordinates meetings and appointments; prepares agendas for meetings and prepares schedules.

  • Provides reception services, screening telephone calls and visitors as appropriate.

  • Opens, sorts and distributes incoming correspondence, including faxes and emails.

  • Performs other duties as assigned.

Knowledge, Experience and Skill Requirements

  • Proficiency in Microsoft Office suite, including Outlook, Word and Excel

  • Strong written and oral communication skills

  • Ability to comprehend and follow detailed instructions

  • Experience in a critical deadlines environment preferred

  • Previous office experience preferred

Work Environment

  • Sedentary position requiring frequent use of hands to operate basic office equipment and computer; occasional and/or light lifting required; vision must be adequate to view a computer screen, read fine print and review documents from a wide range of sources.
