Robert Half Construction Administrative Assistant in Signal Hill, California

Description We are offering a unique opportunity for a Construction Administrative Assistant in Signal Hill, California. This role is within the construction industry, providing administrative support to our construction management team. As part of the team, you will handle a variety of tasks from maintaining documentation, coordinating communications, project tracking, and financial administration. This role offers a short term contract employment opportunity.

Responsibilities:

• Provide daily administrative support, including managing calendars, scheduling meetings, and preparing agendas and minutes.

• Maintain and organize project files, contracts, and permits, ensuring records are up-to-date and accessible.

• Handle incoming calls, emails, and correspondence, serving as the point of contact for project managers, subcontractors, suppliers, and clients.

• Track project progress and timelines, preparing project status reports and updates as needed.

• Assist with budget tracking, expense reports, and invoice processing to support financial report preparation.

• Order and manage construction materials and supplies, tracking inventory usage as required.

• Collect basic documentation from projects and maintain proper owner folders.

• Handle licensing and registration for vehicles.

• Use a range of software including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word.

• Respond to inbound and outbound calls, providing excellent customer service.

• Schedule appointments and manage the coordination of commercial construction projects. Requirements • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)

• Experience in answering inbound and outbound calls

• Excellent customer service skills

• Ability to perform data entry tasks with high accuracy

• Experience in email correspondence

• Capability to schedule appointments efficiently

• Familiarity with commercial construction projects

• Knowledge of construction accounting and construction cost estimation

• Ability to interpret construction documents

• Understanding of the construction industry

• Strong organizational and multitasking abilities

• Good written and verbal communication skills

• Ability to work in a fast-paced environment

• Demonstrated ability to work independently and in a team

• High attention to detail

• Strong problem-solving skills.
