Researches, analyzes, evaluates, and administers corporate benefit plans and programs to meet the organization\'s strategy. Monitors industry, employment and benefit trends and analyzes the legislated requirements to estimate impact. Provides reports to management regarding employee benefits data findings. Assists in evaluating the impact of new policies or provisions.

Performs the day-to-day technical and clerical functions as required to ensure effective operation of the benefit program and Human Resources department.Maintains accurate records and files for association personnel and serves as a resource for employees regarding benefits administration and all other Human Resources inquiries.

Essential Functions / Major Responsibilities:

  • Administers the monthly enrollment eligibility for health, dental, vision, life insurance and disability for Summit Healthcare, White Mountain Imaging and eligible board members.
  • Reviews and audits monthly invoices from all insurance companies and insures the invoices are correct.
  • Processes and completes monthly short term disability, long term disability and basic life invoices.
  • Bi-weekly presentation at employee orientation to give new employees benefit information and how to sign up for benefits.Follows up with employees who have not turned enrollment in on time. Meets one-on-one to discuss benefit options for those employees who request.
  • Facilitates all ACA (Affordable Care Act) compliance and reporting requirements.
  • Sends insurance eligibility to payroll as needed and email all insurance changes.
  • Enters enrollment forms into the HR system and enrolls employees with appropriate vendors/agents.
  • Process retirement distributions requests and loan requests.
  • Ensure the yearly retirement audit is completed and filed on time with the IRS.Give all necessary information to the auditor to complete audit.
  • Accurately prepare and distribute 1095-94C to employees, and ensure annual reporting is completed timely.
  • Compile all of the 5500 information yearly and send to company and make sure the appropriate forms are completed and files with the government in a timely manner.
  • Sends monthly and quarterly invoices to employees and board members for insurance payment.Receives payment, log it and send to accounting.
  • Maintains and proofs the organizations benefit booklets.
  • Communicates insurance changes to the organizations employees through email, newsletters and town hall meetings.
  • Ensure all aspects of open enrollment are completed in a timely manner.
  • Sets up monthly/quarterly meetings with various vendors and employees.
  • Attends and participates in meetings with various vendors and administration.
  • Assist family members and employees with completing claims and processing life insurance claims.
  • Administer and insures FMLA compliance and coordinates short term disability.
  • Updates short term disability, long term disability, and voluntary life billing tool using carrier connection (easy bill record or other electronic communication method).
  • Send out annual retirement participant fee disclosures to all employees.
  • Audits benefits statements
  • Cross trains and supports all other HR functions.
  • Displays proper etiquette and mannerisms that reflect the SHINE Behavior Standards.
  • Promotes the Patient Safety Standards as a core value of the organization.

Secondary Functions:

May be required to travel occasionally to attend meetings, workshops and/or conferences outside of normal busin ss hours.

Participates in departmental and association wide informational meetings and in services, including staff meetings, association wide forums, and seminars.

Reviews department and association wide policies and procedures annually.

Participates in the Total Rewards Process and Employee Relations process and implement recommendations.

Assists with special projects as assigned.

All other duties as assigned.

Additional / Seasonal Responsibilities:

Prepares educational opportunities to enhance employee wellness and schedules events accordingly for employee participation.

Designs and coordinates an annual Benefits Fair for all employees.
