JOB SUMMARY

Provides telephone switchboard coverage, mail management, stocks supplies as needed, directs visitors as required, and performs basic typing and other miscellaneous tasks as assigned to support the office staff. Participates in continuous process improvement activities. Normal hours will vary from 6 am to 6 pm Monday through Friday. These hours are subject to change as future department demands change.

ESSENTIAL JOB FUNCTIONS

  • Consistently answers incoming calls in a timely, professional and courteous manner.

  • Inquires about the customers’ needs and directs calls to the appropriate extension in order to best service the customer.

  • Transfers calls as required in a timely, professional and courteous manner.

  • Places the main switchboard system on call forwarding as required.

  • Has knowledge of how to access and use current patient and room number list.

  • Assists in the processing of incoming mail for the facility as part of the switchboard duties.

  • Receives sorts and processes outgoing mail.

  • Receives, opens, and sorts the incoming mail as required.

  • Flags incorrectly labelled mail and reroutes.

  • Assists in maintaining orderliness in the mailroom.

  • Alerts mail recipients to mail that is overflowing.

  • Uses the letter opener machines in a safe and efficient manner.

  • Demonstrates an ability to be flexible, organized and function well in stressful situations.

  • Treats patients and their families with respect and dignity; ensures confidentiality of patients’ records.

  • Communicates appropriately and clearly with their supervisor, hospital administration, managers, coworkers, physicians and other hospital visitors.

  • Monitors and registers FINs on the incomplete registration worklist using information provided by the Women’s Clinic.

  • Escalates patient feedback and concerns appropriately to ensure resolution and continuity of care.

  • Maintains a good working relationship both within the department and with other departments.

  • Follows policies and procedures to ensure that Memorial Hospital is safe and compliant with all laws and/or regulations.

  • Maintains written master list of hospital phone and fax numbers, inquiring about changes when appropriate.

  • Helps problem solve, suggest, and implement solutions that improve communication.

  • Ensures that documentation meets current standards and policies.

  • Responsible for knowing hospital policies and being familiar with hospital services that are available.

  • Directs patients, family members, other visitors and vendors in a professional and courteous manner.

  • Performs duties in a professional and courteous manner.

  • Ensures that confidential information is protected.

  • Complies with the Patient Access dress code.

POSITION QUALIFICATIONS

Education / Experience / License and Certifications

  • High school graduate or equivalent.

  • Minimum six months’ customer service experience required.

  • Previous experience answering phones in a customer service setting preferred.

  • Knowledge of insurances and healthcare billing preferred

  • Ability to read and communicate effectively in English.

  • Basic computer skills.

  • Ability to type 40 wpm.

  • Ability to work in a stressful environment.

  • Ability to retain large amounts of information.

  • Exceptional customer service skills required.

Specific demands not listed: Possible exposure to blood and or body fluids / infectious disease / hazardous waste requiring the use of Personal Protective Equipment. Exposure to odorous chemicals / specimens and Latex products.
