Program Support Specialist II

Job Summary:

The Program Support Specialist II is responsible for providing a broad range of customer service, community outreach, human resource support, and administrative tasks. This role ensures smooth office operations, supports agency staff and volunteers, manages social media, and assists with outreach efforts. The ideal candidate is detail-oriented, highly organized, and able to work in a fast-paced environment.

Key Responsibilities:

  1. Customer Service:

· Greet and welcome office visitors professionally.

· Manage office security by controlling access and following safety protocols.

· Answer, screen, and forward incoming calls.

· Handle daily mail, deliveries, and community donations.

· Manage the office's group calendar and maintain a clean and orderly reception area.

  1. Human Resource and Volunteer Support:

· Organize and maintain personnel files for staff and volunteers.

· Track continuing education for staff and volunteers, and document volunteer service hours in ETO.

· Maintain clearance documents and assist with preparing training materials.

· Support the Learning Management System (LMS) for staff and volunteers.

· Assist with scheduling and planning staff meetings.

  1. Outreach Program Support:

· Manage outreach material inventory and order supplies as needed.

· Fulfill outreach material requests and attend outreach events as required.

· Post and promote outreach events on social media and the agency website.

  1. Social Media and Website Management:

· Oversee agency social media accounts, creating and posting engaging content.

· Collaborate with staff to update the website and ensure timely, relevant information is posted.

  1. Administrative Support for Leadership Team:

· Assist in managing donor communication through the agency's donor software.

· Support inventory management, including outreach and office supplies.

· Assist with payroll, filing, and other fiscal duties.

· Update agency forms and provide support to leadership as needed.

Qualifications:

· Excellent communication and customer service skills.

· Strong organizational skills and attention to detail.

· Ability to manage multiple priorities and work independently.

· Experience with social media platforms, website management, and donor software is preferred.

· Prior experience in a support role, including human resources or volunteer coordination, is a plus.
