STATE FAIR COMMUNITY COLLEGE Executive Assistant to Dean of Student Services in SEDALIA, Missouri
Overview:Reporting directly to the Dean of Student Services, this position carries significant office management responsibilities for all of Student Services, the Student Services Office and serves as a liaison between multiple departments. The position is responsible for both independent and collaborative work, is responsive to the needs of students and colleagues, and requires highly-reliable attention to detail, effective planning and execution of complicated cross-departmental tasks and case management.
Essential Duties:
- Provides executive-level support to the Dean of Student Services and acts as the Dean's primary liaison to the College community and external relations.
- Resolves problems independently, relieving the Dean of matters of detail.
- Coordinates and assists in logistics, execution and follow-up for meetings, events, etc.
- Controls and tracks expenditures, enters requisitions, journal vouchers and expense reports, reconciles invoices for multiple budgets, receives orders, processes shipments, and maintains inventory for multiple departments within the Student Services Office.
- In collaboration with direct supervisors, oversees basic Student Services onboarding processes, requests appropriate technology access and conducts general office procedural trainings for all new hires across Student Services departments.
- Provides excellent customer service in the Student Services Office, answering telephones, routing calls, scheduling appointments, greeting students and guests, and answering questions from walk-in traffic and e-mail correspondence.
- Coordinates availability and responsiveness among colleagues within the Hopkins Student Services Welcome Center.
- Serves as primary database administrator for the colleges student conduct system and community social service referral platform.
- Provides coordination and administrative support for Campus Issue Resolution Committee by generating reports, scheduling meetings, maintaining records and drafting correspondence asrequired by the SFCC Grievance and Appellate process.
- Advises students and colleagues on compliance-oriented concerns and offers support through the student conduct and/or grievance processes.
- Serves as case manager for the SFCC Care Team by completing appropriate triage and ongoing outreach/follow-up with students needing support.
- Serves as primary contact person and provides oversight for campus emergency services including Food Panty and Caring Closet, Loaned Laptops, and other resources, as available.
- Create and facilitate trainings and/or presentations to students and colleagues through various modalities.
- Completes data entry requests, processes written correspondence, and maintains reports, files, etc.
- Performs other duties as assigned.

Qualifications:
Education: Associates degree required (appropriate experience may be considered in lieu of a degree)..
Skills:
- Advanced technical and computer skills to support administrative functions including database functionality, cloud-based office productivity programs (Microsoft One Drive), and Excel/CSV data analysis.
- Excellent time management and organizational skills, attention to detail, initiative and resourcefulness.
- General adaptability and demonstrated skills in responding constructively in unpredictable circumstances.
- Independent problem-solving and ability to reach appropriate resolutions when faced with crises and conflict.

Experience: At minimum, one year in a general office setting. A high level of proficiency in Microsoft Office applications. Demonstrated success in establishing and managing office operations and managing multiple priorities required. Must be able to exercise exceptional organizational and interpersonal skills. Prior experience in an academic environment is helpful. Experience in Banner and Maxient software platforms and online file management is strongly preferred.
Physical Requirements:Work involves sedentary to light work in an office setting. There is frequent sitting, with walking, standing, stooping, reaching occasionally required. There is an occasional need to lift objects (up to 25 pounds) and perform other similar actions during the course of the workday. Standard Work Schedule:Monday through Friday, 8:00 a.m. to 5:00 p.m. with occasional nights or weekends.
