STATE FAIR COMMUNITY COLLEGE Admissions Administrative in SEDALIA, Missouri

Under limited supervision, the Admissions Administrative and Communications Assistant is responsible for front line duties of the Admissions and Outreach Office, including, but not limited to, process purchase orders, and scanning and indexing documentation with 95% accuracy. During peak times and as needed the Admissions Administrative and Communications Assistant will greet guests, answer questions via the Admissions and Student Success phone and email accounts, monitor the communication flow of mailings, texts and calling campaigns, maintain inventory of marketing materials, and serving as a back-up for campus tours. The Admissions Administrative and Communications Assistant will set a positive and proactive example of customer service. The Admissions Administrative Assistant and Communications Assistant must work effectively with members of the extended campus sites, provide clear communication to school districts in and out of the State Fair Community College service area, while delivering data entry and upkeep services with little to no error. Admissions Administrative and Communications Assistant will also share responsibility for general reception for the Hopkins Student Services Suite.

Essential Duties:
  • Evaluate, scan, and index documents for data tracking systems with 95% accuracy.

``` - Create and document purchase orders for all campus events hosted by the Admissions department. - Serve as the customer relationship specialist and frontline face of the Admissions and Outreach Office, to include: directing and managing student walk-ins and traffic flow, providing basic and accurate information about office functions, service area and application processes, responding promptly to all written and verbal inquiries, assist individuals with applying for admission, creating and maintaining an electronic filing system, etc. with a positive attitude. - Provide tasks and direction to work studies, including: coordinating work schedules, training, updating information/communication, etc. Assist in campus tours and assist with other events as needed. - Manage assigned workflow in Slate (CRM), the Admissions email account, and text messaging platforms to include scheduling autogenerated messaging, engaging in two-way communication with potential students, crafting, updating and editing communications regularly, working closely with colleagues across campuses and departments to ensure clear, concise and effective information is shared with target audiences. - Prepare requisitions, process shipments, run and distribute reports, data entry, organize office inventory, supplies, etc. - Assist with campus-wide events and activities on behalf of the Admissions and Outreach Team and/or Student Services. - Serve as back-up for campus tours. - Gain proficiency in other college-related software applications, including but not limited to Banner, Starfish, Smartsheet, etc. - May require occasional evenings or weekends work time.

Required Qualifications:

  • High school diploma required, Associates degree or equivalent prefered.
  • Ability to effectively communicate in person and in writing.
  • High proficiency in simultaneously managing multiple modes of communication (phone, instant messaging, text, etc.)
  • Must be team player/individual contributor with the mind set to operate effectively in an ever changing environment.
  • Ability to adapt quickly to changes in student needs, work assginments, and organizational structure.
  • Ability to handle confidential matters judiciously.
  • Ability to plan, organize and implement assigned job responsibilities effectively.

Preferred Qualifications:

  • Experience in admi istrative support or office management.
  • Experience in customer relations management (CRM) software applications.
  • Associates degree in Communication, Marketing, Business or related field.
