The Prospect Management team has an exciting opening for a Prospect Management Specialist. This is a 6-month full-time, temporary position.

The Prospect Management Specialist is responsible for partnering with frontline fundraisers to provide tools and resources to help build their portfolios and more effectively and efficiently secure private support for the University. The Specialist applies prospect management policies and best practices, provides access to training and learning programs, captures major gift prospect activity and advises on fundraiser metrics to help maximize returns from solicitations for private gifts and grants.

What You Will Do: Frontline Fundraising Support (45%)

  • Apply prospect management policies and procedures, including proactively communicating them to UW development staff.

  • Provide information on the capabilities and best practices related to the prospect management system.

  • Advise on creating prospect portfolios, proposal records, strategies and contact reports in the CRM in accordance with best practices.

  • Proactively participate in portfolio consultations with fundraisers.

  • Collaborate with other teams to onboard new fundraisers and support staff.

  • Coordinate support with Research Strategists and their assigned units.

  • Track fundraiser performance and provide progress reports.

  • Establish data requirements for prospect management data requests, obtain necessary data from the CRM.Program Development and Management (40%)

  • Monitor contact reports and apply policies to ensure quality control and consistency.

  • Run and resolve audits for data integrity; complete ad hoc data cleaning projects, as needed.

  • Assist in the definition and development of user documentation standards, including policy and procedure library maintenance.

  • Identify possible data issues when system changes are proposed.

  • Connect prospect management system users to technical support resources.

  • Partner with the Director of Prospect Management on end-user reports, analysis and CRM improvements.Learning Support (10%)

  • Provide Advancement staff with guidance on contact reports and system management.

  • Coordinate virtual and on-site trainings on policies and systems and advise on tailored learning.Other duties as assigned (5%) What You Bring:

  • Demonstrated computer skills, including intermediate proficiency with Microsoft Office Suite with an emphasis on Outlook and Excel.

  • Experience in data management and analysis.

  • Knowledge of major gift best practices. MINIMUM REQUIREMENTS

  • Bachelor's degree AND three years of experience in administrative, advancement, development, project management or related field.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. What You Can Expect:
