The Department of Bioethics and Humanities is seeking a Program Manager, Continuing Education and Ethics Consult Service for our Continuing Education Programs in healthcare Ethics, the UWMC Ethics Consult Service and to lead the program outreach, marketing and recruitment work associated with each program. The position will report to the Administrator of the Department of Bioethics and Humanities and will partner closely with the Faculty Directors of our Continuing Education programs and Ethics Consult Service.
POSITION PURPOSE The person will be responsible for the overall administration, budgeting, marketing, and program operations for our continuing education offerings within the department and is expected to execute the management of these programs using independent judgment, self-management of priorities, and independent decision-making within the confines of departmental or university-established policies and procedures. This position is expected to proactively identify and propose process improvements for adoption across all spheres of responsibility. The position will execute required tasks using past practices and manuals while concurrently recommending ways to improve operations moving forward.
DUTIES AND RESPONSIBILITIES Program Management Overseeing the Summer Seminar in Healthcare Ethics Program (30%)
Independently execute the department’s annual programmatic planning for the UW School of Medicine’s Clinical Ethics Summer Seminar, normally enrolling 100-200 participants each year. This includes independently managing the annual CME accreditation process, speaker commitments and scheduling, event promotion, participant enrollment and payments, scholarship distribution, broadcasting and recording of conference content, and attendance tracking for CME purposes.
Ensure and maintain strategic alignment between program planning decisions, the Summer Seminar faculty Director’s vision for the series, accreditation requirements, and key stakeholders’ perspectives whose contributions are key to conference success.
Lead the updating and development of all public facing information about the annual seminar series, including conference website and other communications/promotion assets to be distributed widely across national organizations to encourage enrollment.
Lead annual scholarship communications, review applications, and process awards.
Ensure program’s CME accreditation remains valid amidst potentially changing annual requirements. Troubleshoot participant access to CME credits as needed.
Independently manage the budget for Summer Seminar by monitoring and proactively taking steps to ensure revenue hits annual target and expenses remain within budget.
Proactively communicate with stakeholders contributing to conference agenda to ensure alignment with conference-specific and department level objectives.
Lead planning meetings and share progress updates, to ensure that all contributors are informed of conference planning status and that assigned tasks are completed on time.Ethics Committee, Education Series, and Consultation Service Management and Coordination (30%)
Independently manage the administration and programmatic functions of the UW Medicine Ethics Consultation Service and entities within the service (currently UWMC, HMC and NWH).
Oversee and manage ethics consultations, consultant meetings, and staff debriefings and ensure follow up actions are completed on time.
Schedule consultations, and ensure all steps are executed as necessary to support each ethics consultation. Trouble shoot problems in real time and independently problem solve when unexpected barriers disrupt consultation service scheduling or service provision.
Exercise independent judgment in working with providers across the partnering institutions to maintain On-Call Ethics Consult Service schedule. Serve as primary point of contact with the institutions to update On-Call schedule on a regular basis.
Serve as the primary point person for the Ethics Consult Service across institutions, for staff, patients, and providers/ consultants; maintain and archive consult resources & documents.
Schedule and record comprehensive minutes at hospital ethics committee meetings, to be used for policy setting and support. Follow up as needed to ensure action items are completed on time.
Assist with quality improvement projects and monthly reports related to the ethics consultation service: develop and deploy surveys, collate and present data to leadership; maintain and update appropriate policies and procedures; and maintain Redcap QI database and ethics consultation websites
In conjunction with the faculty director and planners, lead successful implementation of the program’s Ethics Forums and Grand Rounds’ strategic goals, including global promotion, speaker recruitment, maintaining policies to ensure both excellence and compliance for professional education programs, and managing annual CME accreditation of the program.
Manage the speaker schedule and marketing for the monthly Harborview Ethics Forums, offered in collaboration with the Harborview Ethics Committee.
Develop and manage an orientation to the UW Medicine Ethics Consultation Service for new providers/consultants, including administrative onboarding and required credentialing.
Actively collaborate with ethics consultant service clinical leadership to explore solutions to current service area challenges, operate with a continuous eye towards process improvements while maintaining high quality of service. Propose new and update any existing SOPs as appropriate for the program’s ongoing administrative managementProgram Manager for the Advanced Training in Healthcare Ethics (ATHE) Certificate program -Academic Year 2024-2025 (30%)
In conjunction with the faculty director, lead successful implementation of the program’s strategic goals, including development of curricula, global promotion, maintaining policies to ensure both excellence and compliance for professional education programs, and managing annual CME accreditation of the program.
Attend and provide programmatic updates at quarterly Curriculum Committee meetings.
Work with individual faculty course instructors to finalize logistics and materials in advance of each quarter, including the Canvas course website and communications/promotion.
Independently manage the admissions process, including coordination of applicant reviews, acceptance, registration, and financial matters (tuition, fees, waivers, scholarships, internal billing of sponsoring UW departments, etc.).
Engage directly with and monitor progress of professional students in certificate programs to support their successful completion.
Ensure the accuracy and completeness of course files, student enrollment archives and instructor evaluations.Management of External Program Communications and Program Outreach (10% FTE)
Assume independent responsibility for planning, developing materials, and implementing external communications and marketing actions for all departmental fee-based certificate programs – including Summer Seminar and the Advanced Certificate in Healthcare Ethics (ATHE).
Regularly execute department social media postings identified by the Bioethics and Humanities Chair, other faculty, or staff. Contribute to the development of new strategies to externally promote the department, including researching new posting opportunities and platforms that would hit target audiences to expand our reach.
Other duties and projects as assigned MINIMUM REQUIREMENTS
Bachelor’s degree in business, public health, public administration, health sciences, or related field and at least 3 years of related administration and/or program management experience. DESIRED QUALIFICATIONS
Excellent verbal and written communication skills.
Demonstrated ability to independently manage multiple responsibilities concurrently under deadline pressure and changing priorities.
Strong organizational skills, and ability to track and complete tasks and projects independently, effectively, and efficiently.
Experience maintaining website information and generating online content.
Prior experience with event planning.
Ability to consistently apply sound professional judgment and critical thinking to address complex issues and solve problems.
Solid working knowledge of Microsoft Office™ desktop applications.
Proven customer service orientation with demonstrated interpersonal communication skills.
Ability to work with diverse people with tact, diplomacy, discretion, and sensitivity.
Experience working effectively with senior administrators and medical professionals, including sensitivity to handling confidential information.
Ability to work both independently and collaboratively.
Demonstrated knowledge of operational best practices and compliance requirements in a healthcare setting.
Experience managing programs within the School of Medicine and across UW Medicine hospital systems.
Familiarity with CME, or other professional continuing education accrediting and regulatory bodies.
Experience working in a medical setting or Medical School environment.
