THE PROGRAM

The mission of William H. Gates Public Service Law Program (Gates PSL) is to create a culture at the University of Washington School of Law (UW Law) where students, faculty, and staff are inspired and empowered to make public service, equity, and inclusion an integral feature of their professional lives.

A part of the Center for Career Development, the Gates PSL Program coordinates, facilitates, and administers a Scholarship Program for current law school students and recent law school graduates (known as the “Gates Scholars”) with oversight from a Gates PSL Advisory Board. Additionally, the Gates PSL program serves as the central hub for public service/public interest law events and programming, career coaching and academic advising, pro bono service, and leadership development at UW Law.

THE ROLE

The Program Coordinator (NE S SEIU 925 Non Supv) will play a crucial role in the Gates PSL Program. You will support the Gates PSL Director and Assistant Director. You will primarily be responsible for providing programmatic and administrative support for an office that has significant responsibility for professional development centered student services related to public service legal work. The position interfaces with prospective students, current students (both Gates Scholars and the general student body), faculty, staff, and greater communities within and outside the state of Washington.

THE TEAM

The Program Coordinator will be working with the Gates PSL Program and the Center for Career Development team, reporting to the Gates PSL Program Director. As the Gates PSL Program Coordinator, you will build and maintain relationships with the UW Law Community (administration, faculty, and staff), students, and the Washington Public Service Community at a minimum.

DUTIES AND RESPONSIBILITIES Gates Public Service Law Program Support 40%

  • General Public Service Program Programming & Support

  • Events planning and support: calendaring, room reservations, food ordering, RSVPs, advertising, room set up, travel and lodging, and other related coordination as needed for: Social Justice Tuesdays, Gates Speaker Series, Annual Pro Bono Core Competencies Training, Annual Fall Public Interest Fair, Summer Grants Support/Loan Repayment Assistance Repayment Support, and other ad-hoc public service events

  • Post public service job and internship opportunities on job boards and announcement

  • Gates PSL Advisory Board support, including recording minutes and distributing materials for quarterly meetings

  • Assist in preparation of program reports

  • Provide administrative support to Gates PSL Director and Assistant Director

  • Administrative support includes: calendaring, scheduling student appointments, room reservations, travel and lodging registration and reservations, processing payment request forms and reimbursements

  • Create and maintain social media presence Gates Scholars Support 35%

  • Answer inquiries regarding program via email, phone, and in-person

  • Collect and track employment verification forms for program graduates

  • Coordinate registration, travel, and lodging for students attending conferences and/or career fairs

  • Coordinate with Director on Gates PSL website content management

  • Provide general student support

  • Events planning and support: calendaring, room reservations, food ordering, RSVPs, flyers, advertising, room set up, travel and lodging, and other related coordination as needed for: Spring Selection Weekend, Autumn 1L Gates Scholars Retreat, and Monthly Gates Scholars dinner Gates Public Service Law Program Budget & Reconciliation 15%

  • Assist in monitoring program expenditures to ensure compliance and providing monthly reconciliation

  • Update budgets on monthly basis and provide annual budget for Advisory Board approval

  • Maintain and manage student files

  • Supply employment information to Student Fiscal Services to ensure loan deferments

  • Process student loan paperwork: coordinate with Student Fiscal Services on student promissory notes and scholarship agreements

  • Complete training for and obtain ProCard purchasing card for the office. Place orders for supplies and other material needs in the office as needed; coordinate and effectuate purchase of and registration for travel, conference participation, networking opportunities, and other engagements that require payment by the Gates PSL Center for Career Development Administrative/Programming Support 10%

  • Help support Center for Career Development team with events, parking passes, food ordering, staffing information and registration tables, room set up, processing reimbursements

  • Provide front desk staffing back up MINIMUM REQUIREMENTS

  • High school graduation or equivalent AND two years of experience in administrative support OR equivalent education/experience. CONDITIONS OF EMPLOYMENT ?Flexibility in one's schedule may be required some nights/weekends to support program events
