The Department of Psychiatry and Behavioral Sciences within the UW School of Medicine is the third largest clinical department within the School of Medicine with 330 full-time faculty members, 460 courtesy faculty members, and over 350 staff. Department faculty provide clinical services in 5 hospitals, 14 primary care locations, and several outpatient sites in addition to telepsychiatry consultations to more than 150 clinics in Washington and beyond. As the only academic psychiatry department serving the five state WWAMI region (Washington, Wyoming, Alaska, Montana, Idaho), the Department’s highly competitive residency training program is largely responsible for developing the mental health workforce in the Pacific Northwest. The Department’s robust research portfolio totals $67 million in grants and contracts per year for projects ranging from clinical neurosciences to treatment development to health policy and population health. The Department is recognized as an international leader in developing, testing, and implementing Collaborative Care, an integrated care model increasingly seen as a solution for population-based mental health care. Other areas of excellence include Addictions, Autism, High Risk Youth, Neurosciences, and Trauma, and the Department is developing innovative new programs in Technology and Mental Health, Global Mental Health, Maternal and Child Mental Health, and Targeted Intervention Development. Psychiatry is the third largest department in the School of Medicine and the largest non-divisioned department. The overall annual operations funding from all sources is over $130 million.

The Department of Psychiatry & Behavioral Sciences within the UW School of Medicine currently has an outstanding opportunity for a Manager of Program Operations.

This position will manage program operations, including project management and budget management, for a mid-sized research and policy group (10 full-time staff and 30 affiliates and partners).

Key responsibilities include direct hiring, supervision, and management of program operations staff, development and maintenance of project coordination and tracking processes (including project progress and fiscal tracking), producing center budget projections, ensuring staff compliance with reporting and record maintenance, and working closely with department administrative staff to manage the flow of external partner contracts and vendors.

The position also collaborates directly with external community, policy, and funder organizations to manage contracts, memoranda of understanding, and invoicing. The Manager of Program Operations will also contribute to the reputation and impact of the CoLab, a highly visible center within Washington state and the U.S. focused on youth wellness policy.

This is a hybrid position with approximately two days in office and three days flexible as desired. Monday through Friday. May very occasionally required after hours (less than three times a year) for work related functions.

DUTIES AND RESPONSIBILITIES Supervision and Personnel Management (40%)

  • Supervision of Program Operation Specialists and administrative staff, including recruitment, interviewing, hiring, training, scheduling, leave approval, and performance management (including corrective action, mentoring, feedback, and termination).

  • Manage direct and indirect staff who report to this position.

  • Coordinate work across projects to achieve productivity and job satisfaction from staff. The CoLab includes 10 full- and part-time classified and hourly (non-faculty) staff who perform program coordination and fiscal activities, including agenda setting, meeting facilitation, note-taking, file management, processing invoices, managing purchases, maintaining center supplies, and providing travel support.Cross-project Budget and Reporting Management (30%)

  • Responsible for maintaining or developing a cross-project system for tracking projected and spent expenses and individual project progress.

  • Supervise per-project tracking with project operations specialists.

  • Produce accurate monthly reports of CoLab’s finances.

  • Responsible for on time reporting for required reports across projects in funder requested formats.

  • Coordinate external partner agreements and invoicing, including incoming and outgoing contracts, memoranda of agreements, and statements of work.

  • Coordinate tracking with department budget and post-award managers.Communication and Collaboration (20%)

  • Keep the CoLab leadership team apprised of all concerns and staff needs.

  • Manage CoLab-wide staff and affiliated satisfaction, feedback, and performance measures, with consideration for diversity, equity, and inclusion.

  • Accept feedback and make constructive improvements as appropriate.

  • Plan and support planning for staff retreats and sociable activities.

  • Conduct regular and effective meetings in accordance with the above goals.

  • Participate in ongoing professional development opportunities.Regulatory Responsibilities (10%)

  • Maintain a system for ensuring youth-involved activities across CoLab are reviewed and approved by the University’s Office of Youth Programs.

  • Ensure that all programmatic activities at CoLab are consistent with confidentiality and record-keeping requirements.

  • Ensure CoLab staff and employees are kept informed of important UW-wide procedures and standards for professional work.Lead Responsibilities

  • Assigns and directs work: Coordinates work across projects to achieve productivity and job satisfaction.

  • Reviews work assignments: Oversees the work of staff and ensures tasks are completed.

  • Provides performance evaluation input: Involved in performance management, feedback, mentoring, and corrective action.

  • Provides hiring or corrective action input: Participates in recruitment, interviewing, hiring, and performance management decisions.Supervisory Responsibilities

  • Supervises between 3 and 6 staff in program operations specialist, coordinator or administrative roles. MINIMUM REQUIREMENTS

  • Bachelor's Degree in Social and behavioral sciences, public policy, or related field AND a minimum 4 years of work experience OR equivalent education/experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience with hiring and supervising program coordinator and operations staff in project management and fiscally related duties.

  • Ability to independently operationalize management’s guidance.

  • Experience in directly coordinating and managing projects using digital project management tools such as Excel, Smart Sheets, Asana, etc.

  • Demonstrated ability to work successfully with diverse cultures, religions and genders. DESIRED QUALIFICATIONS

  • Master’s degree in social and behavioral sciences desired.

  • Experience working with diverse communities on collaborative projects and with DEI assessments and initiatives.

  • Experience with design thinking or participatory research methods.
