The School of Medicine has an outstanding opportunity for a Facilities Project Manager to join their team.

The University of Washington, School of Medicine (SoM) is recognized as one of the top medical schools in the nation. The Facilities Project Manager is a crucial member of the SoM Office of Facilities, which is responsible for facility planning, design and construction, space planning and management, project coordination, asset management, and facilities maintenance and operations. Under the direction of the Senior Manager, Space Planning and Project Management, the Facilities Project Manager is responsible to represent the interests of the SoM in support of the short and long- term facility needs of the School of Medicine.

The SoM occupies nearly 2.3 million square feet of academic, administrative, clinical and medical research space. This space is located across three primary locations including Warren G. Magnuson Health Sciences Building (HSB) on the UW main campus, the South Lake Union (SLU) research complex, and Harborview Medical Center(HMC). The Office of Facilities supports over $600 million in annual research funding, placing UW School of Medicine among the top medical schools in the nation.

The Facilities Project Manager is responsible to represent the SoM on capital projects, working with SLU property management, UW campus facilities construction and maintenance, UW project delivery group, and HMC facilities team. These construction projects generally range in size from a few thousand dollars to several million dollars in project costs. This is a full-time on-site position, working from all three locations, with primary responsibilities at SLU and UW main campus. This position must develop and maintain positive working relationships with UW Facilities and outside construction industry professionals to ensure consistent and effective delivery of capital projects. Due to the sensitive nature of SoM clinical and biomedical research, the candidate must be comfortable in spaces that conduct a variety of research activities. This position will not interact directly with the research activities but will be in spaces where these activities occur.

This position directly impacts the program’s ability to provide high quality space management and project coordination services to SoM Departments. The successful candidate must be able to work independently, manage diverse interests and competing priorities, communicate information clearly and effectively, collaborate with multiple groups and organizations, implement facilities management tools and processes, and utilize the university space information management system as a space data and planning resource. This position will have regular interaction with SoM administrative, academic and research staff, UW Facility project managers, UW maintenance and operations personnel, and third-party design and construction consultants.

DUTIES AND RESPONSIBILITIES Project Development & Management (85%):

  • Provide planning and design services for department space planning and construction remodel projects. Project development involves schematic design layouts, project scope drawing production, project work plan development, furnishings and equipment planning and support with ordering, and construction scope coordination. Maintain all project documents, critical email communication, and general record keeping within project folder system. Update internal project tracking systems on a weekly basis.

  • Manage SoM construction/renovation projects in conjunction with SLU, UW, and HMC facilities teams. These projects will include academic, laboratory, office, and special use areas, within existing space on UW main campus, SLU, and HMC locations. These tasks include but are not limited to the following:o Attend all project site walks and be available to open department spaces for project development work as needed.o Ensure Facilities project development and estimating process is being conducted in a timely manner. Work with Facilities staff and the department contact to resolve project questions or issues and adjust estimate if needed. Work with department contact to get contract approval signature.o Ensure that Facilities construction schedules are produced in a timely manager and meet the department contact’s critical path requirements. Work with Facilities to adjust schedules if necessary.o Ensure the construction scope and schedule are being adhered to during the project. Bring any scheduling concerns to Facilities team to address potential impacts well in advance for departmental move planning.o Ensure project punch list is completed, and department is not being charged for Facilities corrections.o Provide final project budget closeout reporting to department contact.o Work with department contacts to ensure construction spaces are vacated prior to start of construction, assist the department (when possible) with storage options during construction, and direct department contacts on how to submit surplus pickup and mover orders if necessary.o Ensure that research lab projects follow the UW EH&S Lab Design Guidelines. Work closely with EH&S biosafety officers, EH&S building and fire safety officers, and the department PI and/or lab manager to ensure the lab design meets the needs of the research safety requirements in the space.o Manage the development and tracking of project budgets and ensure Facilities is working within the approved contract amount. Assess any project change orders with Facilities and review with the department contact as needed. Provide department contacts with regular updates throughout the project duration and final project closeout reporting.o For office & lab suite fixtures & furnishings, develop the initial design layout, develop finishes/finish boards (if necessary), connect with furniture vendor, review quoting & ensure department places order, oversee installation and punch of office furniture, work with laboratory furniture vendor for same process described above.

  • Work with department contact, Facilities, and campus engineering on special projects that require the installation of equipment that are sensitive and/or highly technical. These projects are MEP intensive and require separate contracting with engineering consultants to ensure proper equipment selection, adjustments to support utilities, and special removal and/or installation procedures to follow.

  • Work with UW Facilities Maintenance & Operations to address, resolve, and restore facilities infrastructure failure issues such as water leaks, HVAC air flow/temp control problems, or other building support systems. If repair work is required, ensure the Maintenance team completes the restoration work within a timely manner. Communicate with impacted department as needed.

  • Work with Health Science Building Management to address any security incidents, any high-level SoM key request permissions, card reader authorizations, or push-button lock installs.

  • Work with the unit manager with project metric tracking and reporting.

  • Maintain daily ongoing communications with the SoM Office of Facilities team and UW Facilities to create a positive, cooperative, productive work atmosphere.Space Information Management (5%):

  • Provide support to ensure Space Manager space assignments, space classifications, and floor plans are accurate. Verification includes in-field space visits and inspections to verify the accuracy of reported data.

  • Work with UW Facilities Records Office or UW MAPS team to update floor plan drawings or occupancy data in Space Manager as needed.

  • Assist with special space assessment reports that the SoM Office of Facilities unit manager may require.Construction & Finish Standards (5%):

  • Work with unit managers to develop and maintain construction specification standards for construction materials and methods commonly used on SoM renovation projects to ensure a consistent design throughout all spaces.

  • Work with unit managers to develop and maintain finish standards and finish boards for all SoM managed renovation projects.Other Duties as Assigned (5%):

  • Assist the Senior Manager, Space Planning and Management, and other Office of Facilities leadership as required. MINIMUM REQUIREMENTS

  • Bachelor's Degree in Architecture, Construction Management, Planning or related field (experience may substitute for degree requirement).

  • Minimum 4 years of planning, project coordination and production experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Work independently to effectively manage competing priorities, work tasks, and requests.

  • Demonstrated skills in AutoCAD, Bluebeam or similar PDF editing software, MS

  • Project scheduling software or other similar systems, calendar management, MS excel and word, MS Teams and SharePoint.

  • Analytical skills to swiftly process information for incorporation into daily workflow and prioritization.

  • Excellent written, verbal and interpersonal communication skills and working in a team environment. DESIRED QUALIFICATIONS

  • Knowledge of wet lab research and academic environments.

  • Interior design experience

  • Experience with Computer-Aided Facility Management (CAFM), graphics programs, Smartsheet, and database software.
