As the second largest Department in the UW School of Medicine, Pediatrics has twenty-one clinical divisions with approximately 1,400 academic appointments, including approximately 650 paid faculty members, 134 residents, 70 ACGME fellows, 230 staff employees, and over 600 volunteer/affiliate faculty and continues to grow each year. The Department of Pediatrics is a close affiliate of Seattle Children's Hospital (SCH) and Seattle Children's Research Institute (SCRI). Faculty members appointed in the Department are located at various institutions (including Seattle Children’s, UW Medicine, and FHCRC), and are part of the Children’s University Medical Group (CUMG) clinical practice plan. Division Overview Division of Neonatology
The Division of Neonatology is comprised of 47 faculty, 11 staff, and 7 ACGME fellows involved with clinical care, teaching, advocacy, administration, and research. Members of the Division provide inpatient care at Seattle Children's Hospital, the University of Washington Medical Center, St. Joseph’s Hospital, Providence Regional Medical Center - Everett, and Valley Medical Center, as well as outpatient clinical care through pre-natal consultations and infant development follow up clinic. Faculty members in the division teach trainees at all levels: medical students, graduate students, residents, and fellows. The division has a large research portfolio supported by federal and foundation grants. The advocacy activities of the division are closely linked with our clinical, teaching, and research duties.
The Division of Neonatology has an outstanding opportunity for a full-time Division Operations Manager (1.0 FTE) to join their team.
This position will perform a leadership role on the Neonatology administrative team across faculty affairs, division operations, and policy and procedure development. The Division of Neonatology seeks a strong analytical problem-solver with a demonstrated ability to lead, motivate, and develop a diverse team. The position will work a hybrid schedule, with 3 days per week onsite at the Seattle UW Medicine Montlake campus. The Division Operations Manager will report to the Division Administrator.
DUTIES AND RESPONSIBILITIES Faculty Affairs (40%)
Serve as the primary administrative lead for the faculty recruitment process, ensuring adherence to University of Washington’s policies. Collaborate closely with the Department of Pediatrics Faculty Affairs office to streamline hiring procedures, including overseeing recruitment committee meetings, interviews, candidate visits, and voting processes.
Manage the successful onboarding of all new faculty members in the Division of Neonatology, ensuring compliance with academic credentialing, regional licensing, and institutional requirements.
Oversee the faculty promotion process within the Division, ensuring timely tracking of promotion timelines and delivering exceptional administrative support for faculty seeking promotion.
Lead faculty compliance initiatives, including monitoring vaccination documentation across multiple sites and managing FMLA requests to ensure continuous compliance.
Administer faculty funding commitments and manage startup funds to ensure effective utilization and alignment with division goals.Division Operations (40%)
Provide administrative oversight and leadership in the clinical schedule building process, including survey distribution, report generation, data analysis, and scheduling platform management (Qgenda, Web OnCall).
Track and manage the Division’s operating and gift budgets across multiple institutions, providing regular reports to the Division Administrator, flagging issues, and ensuring proper budget allocation and compliance with institutional guidelines.
Lead the administrative management of clinical guideline development and maintenance, ensuring consistency and alignment with Division objectives and standards.Staff Supervision (10%)
Supervise and mentor two Administrative Assistants, fostering a high-performance culture through regular coaching, feedback, and professional development. Conduct weekly check-ins to ensure alignment with team goals, deadlines, and priorities.Policy & Procedure Development & Maintenance (10%)
Develop, implement, and maintain Division policies and procedures to improve operational efficiency and consistency.
Collaborate with the Division Administrator to design and maintain an efficient resource management and collaboration strategy using Microsoft Teams for the Division. MINIMUM REQUIREMENTS
Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
3-4 years of proven leadership or supervisory experience, ideally within an academic or healthcare setting. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS
Strong background in operational management, including budget oversight, resource allocation, and process optimization.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
Demonstrated success in managing teams, setting clear goals, providing constructive feedback, and fostering professional growth.
Ability to navigate ambiguity and complex challenges, applying critical thinking and sound judgment to resolve issues.Excellent interpersonal and communication skills, with the ability to build relationships, influence stakeholders, and collaborate effectively across teams and organizations.
Skilled at designing and implementing systems and processes to track team performance, ensuring alignment with goals and objectives.

Master’s degree in Healthcare Administration, Public Administration, Business Administration, or a related field.
Relevant certifications or specialized training in leadership, management, or team development.
