The School of Medicine has an outstanding opportunity for a Building Services Coordinator (NE S SEIU 925 Non Supv) to join their team.

Working in a team environment, provide high quality reception services, audiovisual conferencing support and safety/security awareness and response for UW Medicine at South Lake Union. This large, biomedical research and administration complex houses over ninety laboratories, thirty-seven conference rooms, six seminar rooms, and two auditoria within six secured buildings and two underground parking structures. The site includes sophisticated lab support facilities and operations. Located in Seattle’s South Lake Union neighborhood, this site operates in a non-campus, heavily trafficked urban environment.

DUTIES AND RESPONSIBILITIES Reception Services - 60%:

  • Greet and assist high volumes of employees and visitors. Use multi-line phones to notify offices and labs of visitors requiring escort from lobby to work locations.

  • Provide directions and information upon request. Answer phones for general site assistance; use and update directories to effectively route calls.

  • Monitor shared email inboxes to address requests.

  • Receive, inspect, and sign for registered mail, courier and other deliveries made to the lobby and notify departments of deliveries.

  • Maintain building bulletin boards, campus directories of staff, faculty, students, and labs, and perform digital signage updates of site activities.

  • Process parking payments and issue parking validations; also assist with other parking and transportation needs.

  • Perform routine housekeeping in reception areas, auditoria, and conference rooms.

  • Assist in entering facility work orders into the order tracking system (InfoCentre).Event Coordination/AV Support - 20%:

  • Schedule room reservations: monitor, support and instruct users in use of the site’s room and equipment reservation system (Resource Scheduler on Demand).

  • Orient and assist users with built-in conference room audiovisual capabilities and provide basic instruction to customers on conducting Zoom/video calls (basic videoconferencing).

  • Communicate with event hosts to ensure that they follow School of Medicine space use and event policies.

  • Provide room setups for meetings in the auditoria and seminar rooms.

  • Maintain supplies and equipment for the site’s auditoria and conference rooms.

  • Check out support equipment: laptop computers, projectors, wireless microphones, wireless remotes for laptops, digital cameras.

  • Post signage for special events.Site Safety/Security - 15%:

  • Maintain lobby awareness; monitor visitors, routine and non-routine lobby traffic, and unusual events in lobby areas.

  • Assist in ensuring safe use of public spaces; identify and follow notification and escalation procedures for incidents such as spill cleanup, elevator malfunction, suspicious packages, loitering, and other routine operational safety issues.

  • Working with site security personnel, serve a communications node function in emergency management activities, fire evacuation drills and related life safety activities. Stringently adhere to procedural training and emergency response requirements. Initiate and follow protocols for manager notification, security requests, emergency response and evacuation events that may include medical, fire, biohazard, and threat response.

  • Process requests and distribute secure access badging to staff, authorized visitors, and vendors. Ensure that security protocols are followed.Additional/Other - 5%:

  • Support the Research Operations Manager on projects as needed (examples include data entry, equipment inventory, and other research enterprise tasks).

  • Other duties as assigned. MINIMUM REQUIREMENTS

  • Two years’ college education, including course in Drama, Education, Communications, or related courses; AND two years’ public contact experience.

  • Additional public contact experience may substitute, year-for-year, for educational requirements. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as license/certification/registration. ADDITIONAL REQUIREMENTS

  • Outstanding customer service skills and people skills to work as a member of a team.

  • Effective written and oral communication skills.

  • Demonstrated computer and video equipment setup and troubleshooting skill.

  • Typing speed of at least 35 WPM; basic word-processing and clerical skills required.

  • Ability to lift 40lbs. DESIRED QUALIFICATIONS

  • Minimum of two years’ experience as a receptionist or other applicable clerical/customer service experience.

  • Prior experience in an ambulatory clinic or other healthcare setting.

  • Experience in use of multi-line phones.
