The Department of Pharmacy has an outstanding opportunity for a full-time Program Operations Specialist. POSITION PURPOSE

This person is responsible for overseeing and supporting the operations of Department’s curriculum and educational technology primarily for courses in the School’s Bracken Pharmacy Learning Center (BPLL), a state of the art pharmacy-based learning facility for students, faculty, alumni and the public. The BPLL is the primary facility used for hands-on instruction in our Doctor of Pharmacy (Pharm.D.) program in the School of Pharmacy.

Key responsibilities include managing daily instructional operations in the BPLL; triaging student and instructor requests and needs; procuring and maintaining inventory and equipment; facilitating and maintaining communications for the BPLL, including dissemination of information to relevant stakeholders; training instructors on use of technology and equipment in the BPLL and working with the university and college/school administration to maintain records, report results, and ensure that other requirements are met.

This position reports to the Department Curriculum Manager.

DUTIES AND RESPONSIBILITIES 50% Program Management

  • Under guidance of Curriculum Manager will be responsible for the management of BPLL academic support and student fee budgets, which includes monitoring the status, ensuring the budget is aligned with course activities, appropriation of fees, and recommending alternative plans as needed.

  • Managing reservations of the BPLL for internal and external users.

  • Manage the BPLL calendar, scheduling, and act as main point of contact for events and meetings taking place in the lab.

  • Work with Department Curriculum Manager and School leadership with offering professional training, community outreach, and continuing education (i.e. coordination of events and documentation for faculty)

  • Assist with the Department’s Teaching and Learning Programs, by sending communication to sites on and facilitating other program administration responsibilities.

  • Assists Department Curriculum Manager with preparing budget reports and contributes to budget planning efforts for the BPLL.

  • Assists Curriculum Manager with writing and implementing policies and procedures for the BPLL related to laboratory, classroom, safety, and university requirements; including policies for risk management, liability, and how to budget for various events.

  • Assists Curriculum Manager in budget management, expenditure forecasts, quarterly course budgets.

  • Prepare for yearly EH&S Lab Survey. Address any outstanding items as a result of the survey in a timely matter.40% Curriculum and Operations Management

  • Provides operational and administrative support for the BPLL team of faculty/instructors.

  • Manages information flow between full- and part-time faculty; volunteer/adjunct/affiliate instructors and clinical specialists; students; alumni and potential donors; and other department staff members at the college/school and university.

  • Acquire and assists end-users in the use of learning technology systems used in the classroom.

  • Assists with creating, updating, and maintaining course websites in Canvas.

  • Operates and maintains equipment, hardware and software programs, sterile/non-sterile compounding equipment, and on-line dispensing and medical record software.

  • Identifies areas of improvement and makes recommendations for changes in BPLL technology and operational needs.

  • Maintain the BPLL Safety Binder. Complete required trainings and maintain training records for lab staff and instructors.

  • Update the chemical SOPs as needed and maintain the MyChem inventory through EH&S.

  • Procures, monitors, and maintains inventory of supplies and equipment for instructional needs.

  • Assists Curriculum Manager in supervising student laboratory assistants. Manage the student laboratory assistants schedules and assign tasks.10% Training, Coordination and Communication

  • Assist with the Department’s Teaching and Learning Programs, via sending communication to sites on and facilitating other program administration responsibilities MINIMUM REQUIREMENTS

  • Bachelor's Degree in a relevant field and two to three years experience in program management and/or outreach activities in an academic or research setting’. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience with (or the ability to learn) protecting student privacy and data security. Careful stewardship of sensitive information/materials.

  • Demonstrated ability to work cooperatively with representatives from all levels of staff, faculty, students, and external stakeholders across a large, complex, multi-campus organizational structure in a fast-paced environment.

  • Ability to interpret and communicate to others complex policies and procedures

  • Conceptual and innovative thinking skills (i.e. identifying solutions) and analytical thought processing needed to develop solutions across a variety of complex situations

  • Advanced computer skills, particularly with systems and applications (word-processing, database, Excel spreadsheet, presentation, web-publishing, and learning technology).

  • Experience with purchasing and inventory management.

  • Excellent communication - both written and verbal.

  • Ability to organize, prioritize and multitask with little direction.

  • Must have the ability to complete tasks working both independently and with others.

  • Strong customer service skills. Strong attention to detail and accuracy.

  • Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification DESIRED QUALIFICATIONS

  • Experience working in a pharmacy or training as a pharmacy technician.

  • Experience with simulation equipment and other educational/learning technologies.

  • Experience with Canvas learning management system and UW purchasing systems CONDITITONS OF EMPLOYMENT

  • Requires ability to lift up to 40 lbs
