The Assistant To The Chair (E S 6) provides high-level support for the Chair and executive leadership in the Department of Chemistry, as well as providing key support for academic personnel activities and central administrative operations. The incumbent will manage and track the Chair’s schedule, travel, correspondence, and other documents, and prepare confidential and sensitive materials for meetings, reports, and presentations. Other responsibilities include supporting the faculty recruiting process, including applicant and interview management, as well as other academic personnel activities (appointments, reviews, awards, etc.) under the guidance of academic personnel leadership. The Assistant to the Chair will assist with administrative functions related to development, alumni relations, communications, and events, and support Chemistry executive leadership in the execution of daily operations of central departmental services and resources.

DUTIES AND RESPONSIBILITIES Communication and Engagement 50%:

  • Independently research, prioritize, and follow up on multiple incoming issues and concerns addressed to the Chair, including those of a sensitive and/or confidential nature; determine appropriate course of action, referral, and/or response.

  • Manage the Chair’s correspondence, reports, and other documents.

  • Coordinate and support faculty meetings. Prepare confidential documents, manage meeting dates and agenda items, communicate with the faculty, coordinate voting results, etc.

  • Assist with the management of the department communications.

  • Assist with the preparation of the Chemistry department publications.Project Management 50%:

  • Coordinate the faculty recruitment process. Recommend and implement effective systems, policies, and procedures, schedule and prioritize work, handle applicant and internal correspondence, coordinate and support individual faculty interviews, and coordinate additional staff support as needed.

  • Support the faculty reappointment, tenure, and promotion processes.

  • Coordinate and track annual faculty review processes, including collegial teaching evaluations, merit reviews, yearly activity reports, and annual conferences.

  • Assist in tracking and managing academic appointments (faculty, postdocs, visiting researchers), visa petitions, and record-keeping.

  • Assist with annual Department events and development functions, as well as special events.

  • Assist Chemistry executive leadership in support of operations and centralized services and resources.

  • Perform additional related duties, as needed. MINIMUM REQUIREMENTS

  • Bachelor’s degree and at least two years of progressively responsible professional administrative experience or an equivalent combination of education and experience. Ability to handle confidential information with tact, discretion, and diplomacy. Excellent written and verbal communication skills.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS

  • Strong collaborative skills to work with large, diverse groups, strong interpersonal skills, excellent written and oral communication skills, and awareness of ethical and political ramifications of decisions.

  • Able to responsibly handle high-level confidential information with a high degree of tact, judgment, discretion, and diplomacy.

  • Ability to effectively use office software suites and manage digital workload in a paperless environment.

  • Experience with and confidence using standard software programs, reference management tools, and email.

  • Willingness and ability to learn and use relevant UW systems and programs and other proprietary computer applications, along with new programs as needed.

  • Significant experience with Office (Word, Excel, Outlook) and Adobe Acrobat is very helpful.

  • Experience with scientific manuscript preparation and editing, and/or prior study in chemistry or a related field is ideal but in no way required. CONDITIONS OF EMPLOYMENT

  • May require occasional work outside of normal working hours for specific deadlines or special events.
