JLL Assistant Project Coordinator in Seattle, Washington
Assistant Project Coordinator JLL is currently seeking an Assistant Project Coordinator to support its Data Collection, Environmental and Property Condition (EPC) Services team. The EPC Services team performs Asset Tagging and Data Collection, Phase I Environmental Site Assessments, Property Condition Assessments, Zoning Reports, ALTA Survey, and Seismic Reports, and partners with JLL's Valuation Advisory as a national resource of third-party inspection and valuation services. Our client base generally consists of commercial real estate owners, occupiers, servicing banks, lenders, capital markets, and real estate financing and investment sources to help them underwrite risk associated with environmental and physical condition of commercial real estate. The Assistant Project Coordinator is an Operations role supporting JLL's Valuation Advisory - Data Collection, Environmental and Property Condition (EPC) Services team. The primary purpose of this role will be supporting administrative functions related to the prioritizing and executing projects to meet deadlines in a fast-paced, team-oriented environment. The individual in this position will provide administrative support and help drive team initiatives. The primary function of the role will include supporting business functions and tasks such as: General responsibilities Daily use of company applications, i.e., Box, PeopleSoft, Workfront, CRM, and Quire Reviewing project requirements and assisting with making judgements about staffing of assignments, scheduling and booking of travel for team members in the field Coordinating with team members and clients to resolve meeting dates and times Evaluating workloads and balancing assignments between team members Perform clerical duties to include scheduling appointments, coordinating calendars, and preparation of meeting materials and notes Complete or manage completion of various tasks determined by EPC leadership Requirements Bachelor's Degree or commensurate experience preferred Workplace experience, minimum of 3 years in administrative support role preferred Advanced Microsoft office product knowledge - Excel, Word, Teams, and Outlook Adaptability - Maintain effectiveness in varying environments, tasks, and responsibilities; works well with various types of people; can work independently, cooperatively, or as part of a team; comfortable with continuous and overlapping deadlines Planning and Organizing - Effectively create, update, and maintain project lists and trackers; develop schedules and task/people assignments; use resources effectively and efficiently Customer Focus - Dedicated to meeting the expectations and requirements of the external and internal customer; acts with customer in mind; establishes and maintains effective relationships with customers, and gains their trust and respect Dealing with Ambiguity - Can effectively cope with change; can shift gears comfortably; can decide and act without having the total picture; can comfortably handle risk and uncertainty Interpersonal Savvy - Relates well to all kinds of people, up, down, and sideways, inside and outside the organization; uses diplomacy and tact Learning on the Fly - Learns quickly when facing new problems; open to change; quickly grasps the essence and underlying structure of new tasks; enjoys the challenge of unfamiliar tasks Self-starter - Able to start and complete projects independently; comfortable making decisions based on data Time Management - Use time effectively and efficiently; can attend to a broad range of activities; comfortable prioritizing tasks and communicating expectations on timing; dedicated to meeting deadlines Written/Oral communications - Ability to speak and write clearly and concisely; get messages across that have the desired effect; comfortable initiating conversations or pursuing answers JLL Is an Equal Opportunity Employer JLL is commi
