Position Description The ArtsUW Ticket Office sells tickets for Meany Center Visiting Artists, School of Drama, School of Music, Department of Dance, and DXARTS. We serve a variety of people in the campus community and the general public. The Assistant Supervisor of Patron Services , reporting to the Director of Patron Services, is responsible for the supervision of hourly cashier staff and for assisting the Director of Patron Services with the overall management of the ArtsUW Ticket Office. Some evening/weekend hours may apply where The Assistant Supervisor will work the box offices at the Kathryn Alvord Gerlich Theater in Meany Hall, the Studio Theater in Meany Hall, the Jones Playhouse Theater, and the Penthouse Theater.

Hire, train, and supervise hourly cashier staff A. Hiring
Post job, interview, hiring paperwork, etcB. Training
Orientation-Review Policies and Procedures
Tessitura/ ticket system training
Night of Performance training
Lead Cashier training
Renewals training
Follow-up training/ review all of aboveC. Timesheets
Approve student hourly timesheets in Workday
Report Student Pay Raises to Payroll Coordinator Coordinate and monitor hourly staff schedulesA. Daytime Ticket Office Schedule- quarterlyB. Night of Performance/ Box Office scheduleC. Oversee daily activitiesD. Fiscal related support
Schedule/supervise Fiscal Student Assistant or do the duties of fiscal student
Count and maintain change bank
Update and create reconciliation forms Handle special customer requests and problems
Track problems and offer solutions Monitor, organize and request/order ticket office supplies
Including remote box offices Oversee Meany Center Visiting Artists subscription renewal nights
Staffing, supplies, etc. Function as lead cashier or supervisor for night of show Box Offices as needed Prepare and distribute ticketing related materials to all Ticket Office staff
Memos as needed/ assigned A-Z Policy and Procedure manuals Workstation ticket information sheets Phonelists Stuffers Ticket Office Forms Assist the Director of Patron Services with:
Development of annual budgets Implementation of policies and procedures
Preparation, organization, and maintenance of references, files, and logs
Training and supervision of permanent cashier staff
Relay performance to Director
Administration of services provided to all clients of ArtsUW Ticket Office
Group sales primary contact
Specific ticketing system administrative functions
Build events/performances as needed/ directed
Run daily posting
Run reports as needed/ directed
Maintain Scheduled Reports
Investigate errors/problems and offer solutions
Issue artist comps
Other duties as neededInteract with the University community and the general public processing ticket orders as required Perform the duties of the Director of Patron Services or the Fiscal Student Assistant if necessary Oversee Ticket Office Records Storage program Perform related duties as required Minimum Requires Requires High School/GED AND five years of office or administrative support experience to include one year of experience as a lead or supervisor OR an equivalent combination of education and experience. Desired Qualifications Working in a ticketing environment, preferably in the arts.Handling and reconciling cash funds.Tessitura database experience.Word processing/spreadsheet experience.Demonstrated written and oral communication skills.Flexible in scheduling, including the ability to work some evenings and weekends.Customer service experience.Must be detailed oriented and can multi-task.Application Process:The application process for UW positions may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
