The Department of Electrical and Computer Engineering (ECE) at the University of Washington is a nationally ranked education and research program. Located on the main Seattle campus of the University of Washington, UW Electrical and Computer Engineering currently supports a student population of approximately 767 undergraduate and 537 graduate students.

The UW Electrical and Computer Engineering Academic Services team serves as a comprehensive, central resource to undergraduate, graduate and professional students for academics, curriculum, advising and department student activities. The anticipated growth in Electrical and Computer Engineering over the next three to five years will be significant. This position (Program Coordinator (NE S SEIU 925 Non Supv)) provides support services to the Electrical and Computer Engineering Advising Teams.

DUTIES AND RESPONSIBILITIES Curriculum Assistance – 50% FTE

  • Coordinate the Time Schedule for the department. Work with the Curriculum Manager and Associate Chair for Education on finding and inputting room and time requests for courses.

  • Coordinate room requests from faculty for exams, office hours and other curriculum needs.

  • Coordinate textbook orders with faculty and the University Bookstore and maintain records. Order and distribute desk copies and instructor’s manuals. Track use of non-approved textbooks for undergraduate core classes and alert undergraduate faculty coordinator.

  • Manage and maintain the Student Database (SDB) registration groups to support the registration process.

  • Order and manage add codes for the department.

  • Serve as the department grade delegate to submit grades on behalf of an instructor in case they are unable due to an emergency.

  • Provide support to the departmental curriculum committee. Coordinate meeting times, attend meetings, distribute agenda, take and archive meeting minutes.Program Support – 40% FTE

  • Assist in responding to questions from faculty and staff regarding university process and policy around student concerns, registration issues and course proposals as needed.

  • Collaborate with the ECE Advising and Events Teams to plan departmental events such as COE Discovery Days, Orientations, and Graduation.

  • Support the undergraduate admissions process by tracking and verifying online applications and submitted transcripts, and coordinating application reads for the admissions committee.

  • Monitor admission offers and acceptances and enter student information in respective databases, prepare applicant files and reports, collect and analyze data.

  • Assist advising team with ENGINE capstone program logistics.

  • Assist Director of Student Services with teaching assistant (TA) logistics as needed.

  • Maintain student records in accordance with university and department policies and serve as the records retention lead within the advising team.

  • Maintain web and printed information for advising programs.Reports and Statistics – 10% FTE

  • Pull data and create reports to assist advisors with quarterly satisfactory progress monitoring of students.

  • Provide data to assist advisors and the department with selection of candidates for honors, awards and recognition. MINIMUM REQUIREMENTS

  • High School graduation or equivalent AND two years of experience in Students Affairs/Services and/or Academic Advising OR equivalent education/experience. ADDITIONAL REQUIREMENTS

  • Excellent oral and written communication skills.

  • Strong organizational skills and attention to detail.

  • Ability to handle several tasks simultaneously.

  • Demonstrated ability to effectively interact with faculty, staff, and students including ability to work as an effective team member.

  • Ability to interact with people from diverse backgrounds, including those for whom English is a second language. DESIRED QUALIFICATIONS

  • Bachelor's degree.

  • Experience with UW systems such as SDB (student database), EARS, Time Schedule Construction, Enterprise Data Warehouse, BI Portal.

  • Knowledge of UW policies and procedures, especially for academic programs at the undergraduate and graduate level.

  • Thorough knowledge of Microsoft Suite.

  • Experience working with data and reports.
