Robert Half Administrative Coordinator in Seal Beach, California

Description We are offering a role in the non-profit sector located in Seal Beach, California, 90740, United States. This position is for an Administrative Coordinator who will be responsible for overseeing administrative duties relating to residency within our community. A significant part of the role involves interacting with other departments and outside companies, making this a great opportunity for those who thrive in a collaborative environment.

Responsibilities:

• Serve as the primary point of contact for visitors to the office, responding to their inquiries in a timely and professional manner

• Prepare and send file maintenance forms to the Finance Department

• Issue new or replacement identification cards to members as needed

• Coordinate inspection requests between various departments and outside companies

• Process documents related to transfers of ownership of stock and collect relevant fees

• Prepare financial demands and forward them to the Finance Department

• Distribute items such as keys, welcome packets, payment cards, identification cards, and carport assignments to new stockholders

• Process all Intents to Withdraw from stock ownership and prepare escrow packets for review and approvals

• Demonstrate an ability to follow established procedures and detailed instructions

• Utilize various management systems and Microsoft Office Suites to maintain accurate records and perform data entry tasks. Requirements • Proven experience in a similar role as an Administrative Coordinator or relevant administrative role within the Non-Profit sector

• Proficiency in utilizing management systems for effective organization and coordination

• Strong knowledge of Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience with 'About Time' software for effective time management

• Excellent skills in drafting and managing correspondence

• Ability to liaise with C-Suite level executives, showcasing strong professional communication skills

• Exceptional customer service skills, with the ability to handle queries and complaints efficiently and effectively

• Proficient in data entry, ensuring accuracy and attention to detail

• Demonstrable ability to work in a fast-paced environment, managing multiple tasks simultaneously

• Strong organizational skills with a problem-solving attitude

• Excellent written and verbal communication skills

• Relevant degree or certification would be an advantage.
