    The Mother Baby Department Clerical Coordinator will provide daily support to the Mother Baby Department and Bellevue Nurse Managers. The Clerical Coordinator is responsible for clerical functions of the Quality Department. Duties include, but are not limited to, routine office functions such as filing, managing department correspondence via phone, in person, email or mailings, and supply management. In addition, the Clerical Coordinator accurately maintains the appointment calendar for department leaders.

    The incumbent schedules inter and intra departmental facilitated meetings, coordinates and distributes materials for these meetings. The Clerical Coordinator is required to take minutes for departmental meetings as well as any others when needed. The individual also acts as a resource person for both internal and external inquiries. The incumbent works cooperatively with all areas of the hospital.

    The Quality Services Department Clerical Coordinator acts as a hospital liaison for legal and regulatory agencies under the direct supervision of the department leaders. The incumbent must exercise discretion, diplomacy and utmost confidentiality in handling the matters of the Quality Services Department and the customers of the department.

    EDUCATION AND EXPERIENCE REQUIREMENT(S):

  • High school diploma or equivalent is required.

  • Previous hospital office experience preferred.

  • Requires basic typing, computing and word processing skills.

  • Analytical, written and verbal communication skills as well as familiarity with medical terminology required.

  • Individual must be professional, courteous with an emphasis on customer service satisfaction, able to work well in a team environment, possess strong computer skills with working knowledge of Microsoft Office products, must possess excellent organizational skills with the ability to handle multiple priorities.

    PRIMARY RESPONSIBILITIES OF THE POSITION:

  • Knowledge of Microsoft products

  • Knowledge of Soarian & Cerner Millennium

  • Proficiency in Excel - making data tables and formulas, charting, data mining

  • Oversee needs of all MSHC RT Depts.

  • Filing/Faxing

  • Mailing/Labeling

  • Answering telephones, handling voice mails

  • Putting together packets for patient education

  • Mail forms, appointment letters and testing instructions

  • Making/Labeling patient charts

  • Photocopying

  • Inventory and order supplies

  • Making appointment reminder calls

  • Confirm Appointments

  • Calling and rescheduling No Shows and cancelations

  • Scheduling-called or faxed orders or last minute needed appointments

  • Central Scheduling Appts -check & correlate with script for appropriate test & time allotment -all MSHC RT Depts.

  • Call MD office for missing script or information-all depts.

  • Maintains appointment schedule with staff availability in Soarian -for all RT depts.

  • Greet patients & give paperwork

  • Reports scanned into EMR-all depts.

  • Fax test results -all RTdepts then scan into patient electronic chart

  • Review charge sheets, charges, reconciliation of errors

  • Assist RT management with development and implementation of processes and procedure for PFT, Asthma, and COPD programs

  • Archive old files

  • Take minutes of meeting and distribution to attendees

  • Assemble patient lists as needed.

  • Assist in development of list, forms and log sheets and assist in drafting of letters

  • Help develop Reports- list , data tables, graphs

  • Special projects as requested

    Salary Range: $15.08-$21.87 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
