Brayman Construction Corporation Administrative Assistant in Saxonburg, Pennsylvania

Brayman Construction in Saxonburg *is looking to hire a *full-time Administrative Assistant to join our first-class team. Our corporate office features a fully equipped gym facility, unlimited free coffee and more!

 

Administrative Assistant Summary:

This role will earn a competitive salary and will support the CEO with exceptional business acumen, attention to detail, and the ability to manage multiple projects and deadlines. The ideal candidate must work seamlessly with the CEO, independently during their travels, and collaboratively with other senior managers, while demonstrating initiative, prioritization skills, and emotional intelligence. The position demands flexibility, energy, and discretion, especially in a fast-paced environment, with strong communication skills.

 

Administrative Assistant Responsibilities

  • Performs a broad-range of administrative duties that are dependent upon the ever-changing needs of the C-Suite; completes these tasks in an efficient and productive manner.
  • Calendar and Email Management: Schedules appointments and meetings; provides reminders of meetings, assembles appropriate presentations and associated materials. The management and prioritization of the CEO's multiple email addresses.
  • Gatekeeper: Screens calls, assists visitors, and sorts/distributes incoming mail and periodicals, as well as LinkedIn and email.
  • *Coordinates Corporate and Personal Travel: *Travel includes business and personal appointments, arrangements such as hotels, air transportation, rental/car services, and more. Familiarity with private and international travel a plus.
  • Technology: Maintain a familiarity with productivity enhancing tools and technology and incorporate those into the CEOs day to day processes. Keep abreast of current apps, tools, software etc. to assist the CEO's productivity.
  • *Financials/Budgeting: *Assist in gathering tax documentation, overseeing expenses /billing invoices related to projects and budgets. Manage budgets as needed for corporate and personal events.

     

Administrative Assistant Required Skills & Abilities

  • C-suite-level administrative experience is a plus but being efficient in a fast-paced environment is preferred. A lesser experienced candidate may be considered if they demonstrate confidence and an eagerness and strategic desire to "step up" into a higher-level role.
  • High degree of computer proficiency utilizing Microsoft Office (Outlook, Word, Excel, PowerPoint, OneNote), internet applications, and mobile devices.
  • Exceptional proofreading and communication skills (written and verbal), organizational and interpersonal skills, time management, and goal setting abilities
  • The ability to tactfully assert with the CEO to facilitate accomplishments of team goals while remaining on schedule.
  • Ability to anticipate the needs of manager while fielding requests and identifying significant items requiring manager attention.
  • Ability to be on call and work non-traditional hours when needed
  • Travel may be required at times

     

Administrative Assistant Education & Experience

  • High school diploma required; Bachelor's degree in Business Administration or related field preferred.
  • At least four years of related experience required.

Safety

This is a Safety Sensitive Position requiring work on project sites, including federal projects. Project sites contain various safety hazards associated with heavy construction. This position may require working at heights, in confined spaces, around heavy equipment, and under constantly changing circumstances. This position may also entail project site work at night and on weekends on an as needed basis. This position will be subject to more stringent drug testing and compliance policies associated with our status as a Federal Contractor.
