Your Specific Responsibilities:

This is a responsible professional career service position assigned to the Clinical and Community Health Services

Division of the Department of Health in Sarasota County. Primary responsibilities include backup coverage for the lead agency Regional Coordinator, serving in administrative duties for the Florida Breast and Cervical Cancer Early Detection Program (FBCCP). The incumbent in this position works cooperatively with the lead agency Regional Coordinator of the FBCCP and under the supervision of the Executive Community Health Nursing Director-SES.

  • Provides backup administrative coverage for the lead agency Regional Coordinator for the Florida Breast and Cervical Cancer Program (FBCCP).

  • Coordinates the FBCCP in the absence of the lead agency Regional Coordinator

  • Works cooperatively and collaboratively with community partners in the eight-county region to achieve the goals outlined for the program.

  • Serves as contract coordinator for the provision of services.

  • Develops Memorandum of Understanding with providers

  • Informs providers of Current Procedural Terminology (CPT) codes and Medicare Part B reimbursement. Notifies providers if there are any changes in CPT codes or Medicare Part B reimbursement.

  • Provides Case Management services to include, but not limited to:

  • Plans and coordinates activities under the direction of the lead agency Regional Coordinator to ensure FBCCP effectiveness and efficiency to meet grant deliverables.

  • Inputs new client referrals/applications and rescreens into the FBCCP database; provides vouchers for client services.

  • Admits clients into the program; obtains screening/diagnostic results from other agencies.

  • Refers client to community resources as needed.

  • Documents in the Volusia Florida Department of Health (FDOH) and FBCCP forms

  • Scans all identified client records for the FBCCP according to established procedures, including appropriately identifying and electronically storing all documents.

  • Opens mail, sorts bills and other communication, then organizes all documents and processes as appropriate.

  • Reviews all bills/invoices, calculates charges, and verifies that totals are correct for submission of FBCCP payments to United Group Program (UGP) and grant payment to the state fiscal office in Tallahassee.

  • Scans and/or photocopies, as requested, for submission of grant bills/invoices to the fiscal office in Tallahassee.

  • Assists with data entry, billing, and other tasks as directed by the Regional Coordinator

  • Collaborates with professional and support staff regarding problem areas.

  • In coordination with the lead agency Regional Coordinator, assists with administrative activities in the planning and development of:

  • FBCCP Annual Budget and monitor/track budget to determine the number of services to be provided per availability of FBCCP funds.

  • FBCCP Workplan

  • Purchase Orders for needed supplies and submits to Assistant Community Health Nursing Director for approval.

  • Quality Improvement and Quality Assurance activities and initiatives

  • Develops orientation, training, and follow-through processes for Senior Clerical Specialist/new staff.

  • Participates in outreach activities within the FBCC region.

  • Performs related work as required:

  • Participates in team meetings, general staff meetings, program conferences and professional trainings.

  • Completes all mandatory trainings as outlined in FDOH policy.

  • Completes Employee Activity Reports (EARS) in HMS and submits time reports in People First in accordance with FDOH policy.

  • Performs other duties as assigned in accordance with the needs of the organization and supervisor’s instructions.

    Required Knowledge, Skills, and Abilities:

  • Knowledge of healthcare industry, public health and community resources

  • Knowledge of Breast and Cervical Cancer Screening services and be able to accurately interpret FBCCP guidelines and regulations (eligibility requirements, billing, etc.) for service delivery and disseminate the information to coworkers and providers.

  • Knowledge of Case Management techniques

  • Demonstrates reliability and maintains confidentiality

  • Knowledge of methods of compiling, organizing, and analyzing data

  • Skill with accurate data entry, preparing documents, reports, and correspondence

  • Ability to accurately complete complex paperwork associated with FBCCP

  • Ability to prepare clear and concise reports

  • Ability to manage and track budget

  • Ability to communicate effectively and courteously in a culturally sensitive manner

  • Ability to maintain effective working relationships with others

  • Ability to solve problems creatively

  • Ability to prioritize and organize tasks for maximum efficiency

  • Must possess basic computer skills with excellent Excel abilities

  • Must be able to travel throughout the eight-county region

    Qualifications:

    Minimum –

  • At least one year of professional experience working in a healthcare setting

    Preferred –

  • Knowledge of medical billing and coding
