Robert Half Surgery Coordinator in Santa Monica, California

Description

We are seeking a highly organized and personable professional to join an ophthalmology practice as a Surgical Scheduler and Relations Coordinator. By providing top-notch coordination, communication, and follow-through, you will play a critical role in delivering exceptional patient care and strengthening partnerships with referring providers.

Key Responsibilities

  • Coordinate and schedule ophthalmic surgeries, including cataract, retina, glaucoma, and other procedures, ensuring optimal resource allocation and efficiency.

  • Collaborate with physicians, medical assistants, surgical teams, and medical facilities to confirm surgical dates and logistical arrangements.

  • Provide patients with detailed pre-operative instructions and ensure all necessary documents (e.g., insurance authorizations, pre-surgical assessments, consent forms) are completed accurately and on time.

  • Communicate changes to surgical schedules—such as cancellations or rescheduling—with medical staff, patients, and third-party facilities promptly.

  • Serve as the primary point of contact for patients to answer questions, confirm pre-op appointments, and provide post-op follow-up instructions.

  • Co-Manage Relations with Referring Optometrists

  • Act as the liaison between the ophthalmology practice and referring optometrists.

  • Foster and maintain strong working relationships with referring optometrists to facilitate the highest standard of collaborative patient care.

  • Share information about surgical treatment plans, post-operative instructions, and follow-up care to assist optometrists with the co-management of patients.

  • Coordinate follow-up appointments for co-managed patients, ensuring seamless continuity of care.

  • Organize and attend meetings or touchpoints with referring optometrists to strengthen partnerships and improve communication regarding patient outcomes

    Requirements

Qualifications

  • High school diploma or equivalent is required. An associate or bachelor’s degree in a healthcare field is preferred.

  • Minimum of 2 years’ experience in medical scheduling, surgical coordination, or patient care coordination (ophthalmology experience is a plus).

  • Knowledge of medical terminology, procedures, and health insurance practices is required.

  • Strong organizational skills with attention to detail and the ability to manage multiple schedules simultaneously.

  • Proficiency in medical scheduling software and patient management systems

  • Excellent written and verbal communication skills, with the ability to convey complex medical information in a clear and compassionate manner.

  • Client-service orientation with the interpersonal skills to build and maintain professional relationships with optometrists, patients, and surgical teams.

  • Ability to adapt to a fast-paced environment and problem-solve issues related to scheduling and co-management procedures.

  • Familiarity with HIPAA compliance and other relevant healthcare regulations is preferred.
