Responsibilities:
Review calendar events of expected external guests and related employee conference room bookings for the day ahead.
Greet, ID and sign in guests and alert hosts to their guests presence; keep guests updated about their host's arrival time.
Ensure the reception desk, waiting area, and lobby are maintained to the highest standards of tidiness and cleanliness.
Meet and greet new hires and employees and provide "Help Desk" knowledge of our office services, spaces, and amenities.
Support Sr. Manager, Facilities on all site administration projects as required by CLIENT
Serve as the main point of contact between the Facilities Department and employees as well as external service providers. Coordinate employee moves and seating allocations.
Manage the PR/PO process and collaborate with Accounts Payable on vendor payments.
Communicate with departments and the entire employee population regarding scheduled services and inspections, ensuring minimal disruption to business activities.
Maintain and update Reception Standard Operating Procedure Manual with best practices and streamlined processes.
Proactively assist in the implementation of recommendations for process improvement.
Qualifications:
Minimum 4-5 years' customer service experience.
Minimum 3 years' continuous experience in accounting PR/PO processes.
Ability to think & work independently.
Basic knowledge of online shipping.
The ability to handle & document multiple projects at one time.
Excellent communication skills both written and verbal.
Ability to meet employer's attendance policy.
Windows environment PC Skills. 1-3 years' experience with Google applications.
High school diploma or equivalent preferred.
Attention to detail.
