Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.

  • Ability to communicate effectively verbally and in writing.

  • Ability to work in a team and independently.

  • Ability to demonstrate organizational skills.

  • Ability to demonstrate experience in multitasking and meeting deadlines.

  • Willing to work outside of normal business hours during peak periods.

  • Experience in customer service troubleshooting needs.

  • Experience in answering multi-line phone and phone etiquette.

  • Ability to operate a personal computer with Microsoft Windows and Office software, specifically Outlook and Excel.

  • Ability to work in an office environment with florescent lighting, controlled temperature and normal noise levels.

Preferred Qualifications

  • Basic understanding of Procurement policies and Procedures.

  • Punctual and excellent attendance.

  • Experience with SAP and TSUS Marketplace.

  • Basic understanding of University Policies and Procedures.

  • Bachelor’s Degree.

Job Description

The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.

Job Duties

  • Assist in managing the routine operation of the department.

  • Compose and proofread correspondence and forms.

  • Maintain files and review for completeness.

  • Maintain office supply inventory.

  • Maintain calendar for supervisor.

  • Coordinate arrangements for meetings.

  • Prepare travel applications, vouchers, and compliance forms.

  • Enter purchase requisitions for office.

  • Monitor transactions of operating budget.

  • Monitor due dates of all assignments and projects.

  • Assist in preparing various activities and events.

  • Distribute incoming mail.

  • Budget and other reporting.

  • Time keeping.

  • Creation and updating of forms.

  • Supervision of student workers.

  • Maintaining department website.

  • Event Planning

  • Perform other duties as assigned.

  • Greet and route visitors.

  • Answer telephone, transfer calls, and take messages.
