Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
Bachelor’s degree.
Demonstrated knowledge of Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Banner. (Must indicate specific software in which you have experience on the cover letter or application.)
Evidence of attention to detail as demonstrated in a grammatically correct, articulate, and concise cover letter addressed to the Health Professions Advising Center Search Committee.
Experience working in a college/university academic advising center.
Demonstrated experience applying interpersonal skills in work situations, working as a team member, and making independent decisions as needed.
Ability to multitask, organize, and prioritize the work of others as well as your own.
Ability to work with difficult situations, under time pressures, and with a multitude of interruptions.
Demonstrated ability to perform math sufficient to calculate GPAs.
Demonstrated ability to interpret, apply, and explain complex policies and procedures clearly and precisely.
Ability to work outside of Monday-Friday, 8:00 a.m.-5:00 p.m. (Must be available to work some evenings and weekends.)
Preferred Qualifications
Advanced degree or hours towards an advanced degree.
Minimum of 3 years of academic advising experience in higher education.
Demonstrated experience using Degree Works, Banner, SSB , BDMS , EAB Navigate, LOGI Reporting, and GATO .
Knowledge of Texas State policies and procedures in a professional capacity (faculty or staff role).
Knowledge of academic programs within the College of Health Professions.
Job Description
Responsible for providing quality undergraduate advising to majors and pre-majors in the College of Health Professions. Coordinate and assist with high-level projects & compliance efforts within the academic advising center. Assist with assessment and development of the College of Health Professions operations, services, and programs.
Job Duties
Act as interim advising center director in the director’s absence.
Provide leadership and indirect supervision to Advisor I’s, Administrative Assistant II, and student employees.
Provide ongoing support to director to ensure continuous improvement and delivery of advising center services.
Assist in overseeing and performing tasks essential to institutional compliance measures.
Serve on search committees and assist in making hiring decisions for all staff positions within the advising center.
Coordinate and assist with new advisor onboarding and training.
Develop, review, and update training materials and resources to ensure accuracy and continuous improvement of advising center services.
Assist with data collection, assessment, and report writing projects for the advising center.
Assist academic units with program admission processes by reviewing students’ records to determine active status with the University, academic standing, and completion of prerequisite coursework.
Oversee all aspects of graduation processing, coordinate advisor participation at commencement ceremonies, and facilitate review process to certify students for graduation each fall, spring, and summer term.
Communicate with campus partners & represent the University and College, both internally and externally, on committees, task forces, and at university sponsored events.
Coordinate, plan, and prepare for advising sessions.
Engage with undergraduate students in-person, virtually, and over the phone.
Help undergraduate students define and develop realistic educational and career goals.
Provide accurate and consistent information about majors, minors, degree requirements, and progress toward graduation.
Clearly explain complex information related to institutional policies and procedures.
Maintain confidential student records through accurate and thorough documentation.
Maintain collaborative relationships with academic units and university partners.
Acknowledge and research student concerns, collaborate with appropriate stakeholders, and advocate for solutions with a commitment to fairness and integrity.
Refer undergraduate students to appropriate resources for assistance.
Participate in university efforts toward recruitment and retention such as Bobcat Day and New Student Orientation.
Provide recommendations for continuous improvement of advising services and integrate practices aimed at improving the student experience.
Commit to ongoing professional development and attainment of knowledge regarding industry advancements and best practices in academic advising.
Complete work at the request of other campus offices to support processes related to accreditation, compliance, and/or student degree progress (Satisfactory Academic Progress plans, Courses Counting Toward Degree, Athletic Academic Progress forms, Transfer Course Agreements, etc.).
Other duties as assigned.
