Robert Half Facilities Assistant in San Francisco, California
Description We are actively searching for a Facilities Assistant to join our team in San Francisco, California. In this role, you will be involved in a wide range of tasks that ensure the smooth and efficient operation of our facilities. This is a short term contract employment opportunity where you will be using the Kronos Timekeeping System, IBM AS/400, and other tools to manage our facilities and maintain a comfortable, safe environment for all staff and visitors.
Responsibilities:
• Utilize the Computerized Maintenance Management System (CMMS) to manage and track maintenance tasks.
• Use Concur for efficient management of expenses and invoices.
• Utilize the IBM AS/400 system for data management and processing.
• Handle the Kronos Timekeeping System to manage employee time and attendance.
• Ensure conference rooms and other shared spaces are well-maintained and ready for use.
• Assist in the coordination of facilities, ensuring a safe and comfortable environment for all staff and visitors.
• Provide excellent customer service, responding to staff queries and concerns about the facilities.
• Participate in budget processes, assisting in the management of facilities expenses.
• Maintain clear and effective communication with all staff regarding facilities-related matters.
• Use the 'About Time' system for efficient time tracking and management. Requirements • Proficiency in CMMS (Computerized Maintenance Management System) is mandatory.
• Experience with Concur software is highly desirable.
• Familiarity with IBM AS/400 system would be beneficial.
• Knowledge of Kronos Timekeeping System is expected.
• Previous use of About Time software is a plus.
• Understanding of budget processes in a facilities management context is required.
• Strong communication skills, both written and verbal, are essential.
• Experience managing and preparing conference rooms for various events is necessary.
• Exceptional customer service skills, with a focus on responsiveness and problem-solving, are required.
• Prior experience as a Facilities Coordinator is highly desirable.
