Job Title: Admin Support II/Receptionist

Job Description

We are seeking an enthusiastic and reliable Admin Support II/Receptionist who will serve as the main point of contact for a large companies headquarters front desk. The candidate will be responsible for managing the incoming and outgoing mail, shipping and receiving packages, and ensuring all areas of the office remain neat and organized, including the mail room, copy room, swag storage, and kitchen. This role involves assisting with weekly office supply and lunch orders, handling Zendesk tickets, and taking on ad hoc projects as needed.

Responsibilities

  • Serve as the main point of contact for the office front desk, checking in visitors and employees.

  • Manage Envoy to ensure vendors' necessary paperwork is completed.

  • Scan packages and organize them in the mail room.

  • Support incoming and outgoing shipping requests, and track packages via FedEx, UPS, and DHL.

  • Maintain all areas of the office neat and organized, including the mail room, copy room, swag storage, and kitchen.

  • Assist with daily catering and lunch orders.

  • Interact with employees regarding shipments, incoming mail, and office repairs.

  • Work closely with the building team to support office maintenance needs.

  • Assist with Zendesk tickets and address IT-related issues (printers, scanners).

  • Keep employee information up to date.

  • Assist with office events coordination.

  • Work on ad hoc projects as needed.

  • Communicate with vendors regarding swag orders for marketing events.

  • Maintain office inventory by placing orders for t-shirts, notebooks, and other supplies.

  • Place Costco/Instacart snacks and drinks orders for San Francisco and Los Gatos offices.

  • Place orders for business cards.

Essential Skills

  • Time management - ability to meet deadlines quickly.

  • Excellent communication skills - able to communicate with building management via email and handle basic scheduling.

  • Office management/assistance - restocking and ordering supplies, organizing mail and copy rooms.

  • Experience with shipping and receiving (handling mail, dealing with UPS, DHL, FedEx, etc.).

Additional Skills & Qualifications

  • Experience with Slack, Outlook, and G-Suite.

  • 1+ year of basic office management experience or retail experience with good customer service skills.

  • High school diploma with 1-2 years of experience in a related field.

  • Excellent communicator with the ability to organize and track activities and report on task status to management.

  • Willingness to learn and grow in the role.

  • Candidates may be early in their career - training and development opportunities are available.

Work Environment

This role is fully onsite, requiring the candidate to work from our San Francisco, CA office five days a week, Monday to Friday, from 9 AM to 5 PM (40 hours per week). Limited parking is available onsite, typically reserved for executives, so candidates should be prepared to research parking options in the area or use public transportation at their own expense. We are seeking someone who resides in the city with a reasonable commute.

Pay and Benefits

The pay range for this position is $20.00 - $20.00
