Description
Our client, a well-established and professional organization in San Diego, is looking for an enthusiastic and detail-oriented Receptionist to join their team. This role is vital for creating a welcoming environment and ensuring the smooth operation of the front desk and office. As the Receptionist, you will be the first point of contact for visitors and callers, playing a crucial role in representing the company’s professionalism and values. You will manage front desk operations and provide administrative assistance to other team members as needed.
Responsibilities:
Greeting Visitors: Welcome guests in a friendly and professional manner. Direct visitors to appropriate staff or departments.
Phone Management: Manage a multi-line phone system, answering, screening, and forwarding calls accurately.
Correspondence: Respond to customer inquiries via email or phone, and relay messages promptly.
Administrative Support: Assist with clerical tasks such as filing, faxing, copying, and organizing documents.
Scheduling: Manage conference room bookings and coordinate meeting schedules.
Mail Handling: Sort and distribute incoming mail/packages and prepare outgoing mail.
Supply Management: Monitor office supplies inventory and coordinate orders as necessary.
Office Maintenance: Ensure the reception area is tidy, organized, and presentable at all times.
Requirements
Experience: Minimum of 1-2 years in a receptionist, administrative, or front desk role.
Technology Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with office equipment (e.g., copiers, printers, phone systems).
Communication: Excellent verbal and written communication skills, with a professional demeanor.
Customer Service Skills: Friendly and customer-oriented attitude, with the ability to handle sensitive or challenging situations effectively.
Organizational Skills: Ability to multitask and prioritize work in a fast-paced environment.
Education: High school diploma or equivalent required; additional education or certifications is a plus.
Preferred Qualifications:
Experience with scheduling software or CRM tools is a plus.
Bilingual proficiency (e.g., Spanish) is an added advantage.
