Description

We are currently seeking a proactive and personable Front Desk Coordinator to join our team and serve as the welcoming face of our company. As the Front Desk Coordinator for our biotech company, you will be the first point of contact for visitors, clients, and employees, providing exceptional customer service and administrative support. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment.

Responsibilities:

Front Desk Operations:

  • Greet visitors and employees with a warm and welcoming attitude, providing assistance and directions as needed.

  • Answer incoming calls, screen and transfer calls to the appropriate departments or individuals.

Visitor Management:

  • Register visitors, issue visitor badges, and maintain visitor logs in accordance with security protocols.

  • Coordinate with employees to announce visitor arrivals and escort guests to meeting locations.

Administrative Support:

  • Assist with various administrative tasks, including data entry, filing, and organizing office supplies.

  • Manage incoming and outgoing mail, packages, and deliveries.

Meeting and Event Coordination:

  • Schedule and coordinate meeting rooms, ensuring rooms are set up with necessary equipment and supplies.

  • Assist with the planning and execution of company events, including meetings, seminars, and conferences.

Facilities Management:

  • Liaise with building management and facilities staff to address maintenance requests and office-related issues.

  • Monitor and maintain cleanliness and organization of the front desk area and lobby.

Communication Liaison:

  • Serve as a communication hub for the company, relaying messages and information between departments and individuals.

  • Respond to inquiries from clients, vendors, and employees in a professional and timely manner.

    Requirements

Qualifications:

  • High school diploma or equivalent; additional education or training in office administration or customer service is a plus.

  • Proven experience in a front desk or customer service role, preferably in a corporate or professional setting.

  • Excellent communication and interpersonal skills, with a positive and customer-focused attitude.

  • Strong organizational abilities and attention to detail.

  • Proficiency in using office equipment, including phones and computers.

  • Ability to multitask, prioritize tasks, and remain calm under pressure.
